Processing MARCIVE records

  • SUL Systems generates a report of the title id numbers assigned to the MARCIVE records.
  • Documents specialist keeps copies of the title pages with barcodes of all hearings and prints received through the federal depository program. Copies are filed by SUDOC call number and by month
  • All non-hearing/print depository items are shelved on the depository shelves by receipt date

HEARINGS/PRINTS

In Maintain Existing Titles wizard:

  1. Set options for item lookup/maintenance/added vols.: shelving scheme: SUDOC
  2. Browse Unicorn via SUDOC call number stem.
  3. Select record and View. Review record for obvious misspellings, subject and access point inaccuracies, and to see if the record is a computer file
  4. Modify item
  5. Select Vol./Copy tab
  6. Wand in barcode
  7. Write title control number on title page

Update Multipart item records:

  1. 040   |dCSt-Law
  2. Add 020 if available
  3. Add 500 dates if necessary
  4. Add contents if necessary
  5. Add MARC holdings
  6. COMMENT.li:initials

Update MARCIVE Catload Key list

    After all hearings have been reviewed, cross title control numbers off list

MICROFICHE REPORTS/DOCUMENTS
These items are microfiche

In Maintain Existing Titles wizard:

  1. Search Unicorn via Title Control #
  2. Select record and View. Review record for obvious misspellings, subject and access point inaccuracies, and to see if the record is a computer file
  3. Select Edit Existing Volumes and Call Numbers tab
  4. Call number: insert XF NNN:|z before the SUDOC call number. See attached table for listing of XF numbers
  5. Class scheme: change SUDOC to ALHPANUM

Update MARCIVE Catload Key list by crossing the title control numbers off list, and marking with letter M

ELECTRONIC RESOURCES
If the title control # is for an item with the general material designation [computer file]

In Maintain Existing Titles wizard:

  1. Review record for obvious misspellings, subject and access point inaccuracies
  2. Select Vol./Copy tab
  3. Call number: INTERNET RESOURCE|zTITLE
  4. Class scheme: change SUDOC to ALHPANUM
  5. Type: ONLINE
  6. Home location: INTERNET
  7. COMMENT.li:initials

Select Bib tab. Add the following:

  1. 040       |dCSt-Law
  2. 655 _7  Internet resources.|2local

Update MARCIVE Catload Key list by crossing the title control numbers off list, and marking with letter E

ELECTRONIC RESOURCES FOR HEARINGS & MICROFICHE
Some hearings and reports on microfiche are downloaded with computer file records. In these cases two copies will be processed.

Copy 1 for the hearing or report. Follow the steps for Hearings/Prints or Microfiche Reports/Documents above. Some SUDOC call numbers may need to be modified to match number on piece. A second 086 may need to be added.

In Add volume/call # Wizard:

    Add the copy 1 for the Internet Resource following the steps for Electronic Resources above

Update MARCIVE Catload Key list by crossing the title control numbers off list, and marking with letter E

OTHER

  • While searching Unicorn via Title Control #, additional documents will be listed on the Catload list
  • Select record and View.
  • Review the Processing Procedures for Non-Congressional Government Documents for disposition of titles
  • If the title record is for a serial that has already been cataloged, delete the record, cross title control numbers off list, and mark with letter W
  • If the title record is for a monograph, print record out, and then check the Depository shelf. If found, send to be processed. If not found, give the printout to Julie to search, cross title control numbers off list, and mark with letter J
  • If the title control # is for a hearing for which there is not printout, check the subsequent months folder or give to Ian to search and process. Cross title control numbers off list
  • Selected titles records are for items we do not receive on depository. Review the Item Numbers Submitted to MARCIVE list. If the item number is not listed, delete the record, cross title control numbers off list, and mark with letter W

STATISTICS

  • Count all the hearings titles
  • Count all the microfiche titles
  • Count all the electronic titles
