Changes to PeopleSoft
The Workflow Project will cause some minor changes to PeopleSoft.
Most notably, there are two new panels added to each transaction
that has online approval functionality. The other change is in
the navigation in the Use menu.

Access to the Add function in Position Data and Job Requisition
Data will no longer exist after July 21, 2003. You will still
have access to the Update/Display and Update/Display All functions
for Position Data and Requisition Data. These are used to update
existing or fully approved transactions. Access to the old Applicant
Hire and Add Concurrent Job menu items will no longer exist after
October 2003.
Each new menu item takes you to the same panel group as the old
menu item, but there's one very important difference - the information
is saved to a staging table. The staging table is where
the transaction is held until it is fully approved. Once the transaction
is approved, it moves from the staging table to the production
database and becomes part of the permanent record in PeopleSoft.
New Panels
To get a transaction approved, you have to identify who those
approvers are. There are two new panels in PeopleSoft to allow
you to do that. First, there is the Transaction Information panel.
Click on any of the blue labels to jump to more information about
that feature.

| Type of Transaction |
The Workflow Process field shows what kind of transaction
you're doing: Create Position, Create Job Requisition, Applicant
Hire, or Add Concurrent Job. |
| Transaction ID
Number |
The Transaction ID number is automatically created when
you save the transaction. You can search for your transaction
in the staging table by the Transaction ID number. |
Transaction
Status
Information |
Transactions in the staging table have a status: New, Pending,
Approved, Returned, Declined, Recalled, or Deleted. Each time
the transaction gets a new status, the date and time are recorded.
Transactions with a status of New, Returned, and Recalled
can be edited. |
| Originator
Information |
Originator details. Check to be sure that the email address
listed will actually reach you. If not, please note your correct
address in the Comments. |
| Comments |
The Comments for Approvers field allows you to enter
comments that will be emailed to the approvers and FYI recipients.
This data is only saved while the transaction is pending
in the staging table and is not moved to the production
database.
Some Examples
of Helpful Comments You
may wish to tell an approver that it's urgent that a
particular transaction be approved before the end of
the day or by a certain date: "Please approve no
later than Friday." Also, you could give the approver
a comment to help jog their memory about which transaction
this is: "This is the new hire starting on Monday." |
|
| Clear Data |
This field is used to start a transaction over after it
has been returned or recalled. It clears the data out of the
staging table and includes only information from the production
database if applicable. |
You are not required to enter anything on the Transaction Info
panel, but you do have the option to include Comments to Approvers.
The Transaction Info panel and the Identify Approvers panel act
as bookends for any information saved in the staging table. In
the Applicant Hire transaction shown above, notice that the first
three panels in the panel group are saved directly to production.
The remaining panels in the panel group (starting from the Work
Location panel) are saved in the staging table until the transaction
is fully approved.
The other new panel is the Identify Approvers panel. The next
topic will look at the Identify Approvers process in depth.
