Ordering Process using the OrderIT Web Site

To assist you in ordering Information Technology services using the OrderIT site, there are training classes scheduled monthly. To register and view the class schedule, go to Axess and login using your SUNet ID and password. Click on the Training tab and search the Catalog using title 'OrderIT Site.' Click on Course title to see dates and times of classes offered. There is also an e-learning option available. This training class is required if you will be ordering Information Technology services using OrderIT.

Service Offerings

Before placing any type of New Service order request, please review all service package offerings.

Additionally, you may wish to review your options further using the Computing Self-Help site.

Account Maintenance

Before placing an order, you must be sure the accounts you will be billing to are authorized and will appear in the 'Accounting Information' MRC and OCC pull down menu's on the order form. More information and step by step instructions are available in the OrderIT Training Guide.

Placing an Order

Not all IT Services orders are place via OrderIT. Some orders must be placed via other tools or by submitting a HelpSU request. Use this decision guide to help determine if your order should be placed via OrderIT or some other way. Things that are not ordered via OrderIT include:

In OrderIT, every Information Technology Service is assigned a subscriber. A subscriber may be an employee (faculty or staff) or a Department Name. When requesting a new service, first search and select a subscriber, then select order action: Add Service to Subscriber. If you are changing features of a service, making a billing account change or a subscriber change to an existing service, or placing a Data Center service order using your SLA, search by service number (as it appears on the billing statement), then select the order action Change Service. To move voice, network or cable tv service to a new jack location, search by the service number (as it appears on the billing statement, then select the order action Move Service. To disconnect service, search by service number (as it appears on the billing statement), then select the order action Disconnect Service.

Note: For SLA service orders, always use a Change Service order to request new data center services or to cancel existing services. Using Add Service to Subscriber will create a new SLA. Using Disconnect Service will terminate your SLA and all services associated with the SLA.

Orders are placed in your Cart once you submit. To submit your order to OrderIT Processing, click the Cart tab, click on the order request to submit, click 'Proceed to Checkout.' You may modify your order when it is in your cart. Click on the Order Request number link. Once an order is submitted to OrderIT Processing, you must call the ordering and billing service desk at 5-HELP (650-725-4357) to make a change or cancel the order.

To view the status of an order, click the Order Services menu, click 'Orders' tab.

Tips for Placing Different Types of Orders

Step-by-step instructions for placing orders can be found in the OrderIT Training Guide. Below you will find some additional tips for approaching various types of orders.

New Services

Cable TV
Use this service type to order cable tv service.

  • Departments may only order Academic Cable TV Services
  • Enter the jack number in the Jack field as quad, building, TSO number, and port (example: 14 200 1583V)

Calling Cards
Use this service type to order calling cards.

  • Search by subscriber. Use the employee name as the subscriber if possible.
  • Click on any service assigned to the subscriber before clicking Add Service to Subscriber
  • Clear all information in the New Location Information fields

Cellular Service
Use this service type to order cellular service.

  • Search by subscriber. Use the employee name as the subscriber if possible.
  • Click on any service assigned to the subscriber before clicking Add Service to Subscriber
  • Clear all information in the New Location Information fields

Circuit Service
Used for ordering new circuit services such as a fiber circuit, alarm circuit, or point-to-point circuit.

  • Always specify the the two end points in the Any additional information field
  • Clear all information in the New Location Information fields
  • Circuits are generally subscribed to a department rather than an individual subscriber

Consulting Service
Use this service type to request consulting service to help you with your more complex telecommunications needs.

  • Use the Department as the subscriber
  • Enter the 4 letter org code in the ID field and click the with/without services radio button on the subscriber search
  • In the Accounting Information fields, enter accounts for one time and recurring charges. Your assigned Account Representative will inform you if any billing will occur.
  • In the Any additional information field, describe the request you need assistance with.
  • For Consulting Service, no estimated charges will be displayed at the time you place the order.

Global Account Change
Use this service type to move all services being charged to one account to another account. If you wish to make an account change request for a specific service or subscriber, use a Change order form instead.

  • Use the Department as the subscriber
  • Enter the 4 letter org code in the ID field and click the with/without services radio button on the subscriber search
  • Clear all information in the New Location Information fields
  • In the Accounting Information fields, enter the new MRC and OCC accounts
  • In the Any additional information field, enter the current and new account information. (Example: Move all service charges from account 1234567-100-ABCDE-ZZZZ to account 9876543-100-QWERT-ZZZZ.)

Network Business
Used this service type to order Net-to-Jack service.

  • Enter the jack number in the Jack field as quad, building, TSO number, and port (example: 14 200 1583V)
  • Your department must have a Service Level Agreement with IT Services to order this service.

PBN (Long-distance Access Code)
Used this service type to order PBN service. PBNs are not to be shared among individuals. When an employee leaves, the PBN must be cancelled. Do not pass a PBN along to another employee when an employee leaves the university.

  • For PBN service there are no activation fees
  • You are billed for internation call usage only
  • Usage charges will appear on your monthly IT Services Billing report
  • Search by subscriber. Use the employee name as the subscriber if possible.

Pager Service
Used this service type to order new pager services. Alternately for faster service, you may request this service in person at the Pager Administration Office in the Stanford Hospital, Room H1107.

  • Search by subscriber. Use the employee name as the subscriber if possible.
  • Click on any service assigned to the subscriber before clicking Add Service to Subscriber
  • If you already have a pager device, specify the device number and carrier in the Any additional information field.

Remote
Use this service type to request DSL service at the subscriber's home.

  • Search by subscriber. Use the employee name as subscriber if possible.
  • Click on any service assigned to the subscriber before clicking Add Service to Subscriber
  • In the Any additional information field, provide the subscriber's home phone number and home address where the DSL service is requested

SLA
Do not use this service type to add new service. All SLA orders should be a Change Service order. (If you enter it as new, it will be interpreted as a request for a new SLA or PSA.)

Time, Materials, and Project Services
Use this service type for requesting jack installations, telephone set purchases, or requests for major building renovations and rewiring projects.

  • Assign the Department as the subscriber
  • Enter the 4 letter org code in the ID field and click the with/without services radio button on the subscriber search
  • Clear all information in the New Location Information fields.
  • Use Any additional information to clarify anything about the request

Voice service
Use this service type to order telephone service.

  • Click on any service assigned to the subscriber before clicking Add Service to Subscriber
  • Enter the jack number in the Jack field as quad, building, TSO number, and port (example: 14 200 1583V)

Wiring/Construction Project
Use this service type to request rewiring services, building renovations, new building wiring projects and jack installations not associated to a Voice service request.

  • Assign the Department as the subscriber
  • Enter the 4 letter org code in the ID field and click the with/without services radio button on the subscriber search
  • Clear all information in the New Location Information fields.
  • Use Any additional information to clarify anything about the request


Changing Services

Use this to change an existing service. Service changes include service level offering, adding or removing features, upgrading/downgrading set type, account number changes, and subscriber changes.

  • Search by number for fastest results
  • You may check one or more changes from the list

SLA
All SLA orders, whether for new data center services or to make changes to existing services, should be entered as a Change Service order.

  • Search by your PSA number for fastest results.
  • PSA should be entered in ALL CAPS (example: PSA0001).
  • Describe the order completely using the Any additional information field.

Moving Services

Use this to move voice, network, or cable tv service to a new jack location

  • Search by service number for fastest results
  • Enter the new jack location in the Jack field
  • Use Any additional information to clarify anything about the move

Disconnecting Services

  • Search by number for fastest results
  • Choose a Complete By date from the calendar. Note: This does not guarantee completion by this date.
  • Use Any additional information to clarify anything about the disconnection
