About the Rates

Information Technology Services provides more than 85 distinct computing, network, and telephone services to faculty, staff, students, residents, and visitors at Stanford University and its affiliated Hospitals. While some of these services are provided at no charge, many are offered for a fee (to pay for the cost and overhead associated with their delivery).

The rates information is provided on the IT Services web site current as of the "last modified" date shown at the bottom of every page. Rates are subject to change.

Note about Set Maintenance

The maintenance of equipment required to provide telephone service from the Stanford SL-100 telephone system to the jack outlet is included in the monthly Service Level charge. Telephone set maintenance is the department’s responsibility. IT Services can provide maintenance for some supported telephone sets. Departments may elect to pay the listed per-set rate for maintenance from IT Services. These rates cover any time and materials for required telephone set repairs occurring during standard business hours.

Telephone sets for which IT Services offers maintenance can be placed on the Set Maintenance Plan for no charge at the time of original installation/activation. Telephone sets already in service or purchased from another source (and for which IT Services offers maintenance) may be placed on the maintenance plan only after an IT Services inspection.

Notes About Rates and Conversion Costs

The cost of a VoIP conversion depends on the number of phone lines involved and, accordingly, the number of VoIP telephone sets being purchased. Please call 5-HELP for more information about VoIP conversions.

The following items may also affect the cost of conversion:

  • There may be costs associated with upgrading building(s) to VoIP enabled service.
  • There may be infrastructure costs associated with "building out the closet" (that is, expanding the dedicated network wiring space) if the current space is limited.
  • In some cases, VoIP telephone sets may require special reconfiguration, for an additional charge, to accommodate "multiple-appearance-numbers" (lines that appear on more than one phone).

Getting Started: The VoIP Request Process

To begin the process of converting your department's phones to VoIP, submit a HelpSU request for consultation. By the end of the next business day, a consultant will contact you to discuss and confirm your authorization to start the ordering process.

After that initial contact, an assigned IT Services service consultant will work with you to review and inventory potential voice lines that will need to be converted. This service consultant will continue to be your point-of-contact as a team of IT Services managers, consultants, and technicians work up a comprehensive report/proposal for you that includes audits, findings, costs, and timelines tailored to your department's particular needs. The service consultant will deliver the report/proposal within 30 days of your initial consultation. At this point, the service consultant will obtain a department account number and begin scheduling your VoIP implementation.

Paging Systems

The Stanford Medical Center uses two types of paging systems, often referred to as "Stanford network" and "long-range".

  • Stanford Bay Area Network (Stanford BAN). Most of the Stanford medical community—and all code teams—use a Stanford-owned paging system for their paging service. Pagers are owned by departments. Users send pages over a frequency used ONLY by the Stanford paging system.
  • Arch Wireless system (long-range). Staff, students and faculty who live or work in areas not reachable by the Stanford system may rent Arch Wireless pagers from the Pager Administration office.

    Note: Arch Wireless pagers are not available for personal accounts. This service costs more and pages tend to take a bit longer to be transmitted. However, Arch Wireless does provide a larger area in which you can receive pages. Keep in mind that Stanford has much less control over the reliability of the Arch Wireless service.

WebEx

WebEx at Stanford is by subscription and is charged monthly to your department's IT Services bill.

Named host model

Stanford's "named-host" licenses cost a flat $29/month per named-host (i.e., those who initiate the sessions). No license is required to participate in a Meeting/Support/Event/Training or Sales session; only the host needs a license. Licenses cannot be shared among users; each WebEx session host must have his/her own license.

The flat-rate covers an unlimited number of sessions, of unlimited duration, with up to 200 participants in each session. The only additional cost is for teleconferencing, if needed:

Storage of Recorded Meetings
WebEx allows license holders to record their Meeting Center, Training Center, and Event Center sessions, both what is displayed on the screen as well as the audio-stream (if WebEx integrated audio is used). Stanford has purchased a small amount of online storage to be shared among all Stanford license holders. IT Services will pass through the WebEx rate of $10/Gb per month for those who have more than 1Gb of recorded meetings and choose to keep those recordings on the WebEx servers. IT Services can also work with users to download those recordings to local disk storage if that is preferable.

Rate definitions

Facilities

  • By Rack Unit: This is the charge for servers using shared rack space. Cost is based on the actual number of rack units used by the server. Server installation and special power hookup are not included in the rate. Rate includes monthly cost for standard space and power usage.

  • By Full Rack: There are two sizes of racks, those which support medium racks (20 units) of equipment, and those which support large racks (31 units), assuming standard rack-mounted equipment. Rate includes monthly cost for standard space and power usage.

  • By Square Foot: This is blocked space that is either managed by the client or managed by IT Services Shared Services staff. Rate includes standard power consumption, specialized facilities, environmental monitoring, and Production Control Group support for system monitoring and incident resolution.

Database Administration

  • For Oracle databases, rates are only charged per production database. The associated development databases are supported at no extra cost.
  • For MS SQL databases, rates are only charged per server regardless of the number of production databases running on the server. MS SQL databases on development servers are supported at no extra cost.

Unix/Linux

  • Non-Standard O/S or Hardware: This rate applies to machines which are running operating system versions or using hardware which is not on our supported list.

High Performance Computing

  • Additional monthly rates may apply if the cluster subscribes to other services such as IT Services managed storage, additional database servers, or non-standard support due to the high level of complexity or unique system configuration.
  • Rate combinations are unique for each cluster.

Storage Rate Definitions

  • Server Disk Storage (High Performance): Server Disk Storage (High Performance) balances performance and reliability with cost. Most services find the level of performance and reliability more than sufficient; examples include the databases that support HelpSU, email, and calendar data. Disk failures may occur a few times a year but are noticeable only during peak demand.
  • Server Disk Storage (Lower Performance): Server Disk Storage (Lower Performance) handles office documents, digital media, web content, and AFS. Server Disk Storage (Lower Performance) uses the University's general-purpose public network. Storage devices in this group are significantly cheaper (or even free; AFS storage is provided free of charge to all full-service SUnet account holders) and generally provide lower levels of performance and reliability. Server Disk Storage (Lower Performance) has many of the features available in Server Disk Storage.
  • Individual & Group File Storage: Individual & Group File Storage provides standard ways for individuals and groups to share files across intranets and the Internet. By using a remote file-access protocol that is compatible with the way applications already share data on local disks and network file servers, Individual & Group File Storage enables collaboration on the Internet. Individual & Group File Storage is optimized to support slower speed connections.
  • Secure Individual & Group File Storage: Secure Individual & Group File Storage provides a way for faculty and staff to transmit and store Restricted and Confidential Data. It is for both Windows and Macintosh desktop and laptop computers. Faculty and staff who participate in the Secure File Storage service must have Stanford Whole Disk Encryption (SWDE) installed and encrypt their laptop or desktop computer. They must also use either the Stanford Virtual Private Network (VPN) or Stanford Network Access Control (SUNAC) while transmitting files. Individual and group accounts are available.

CRC rates are based on the number of devices and complexity of the environment to be supported. The table illustrates rates for Field Support Team based departmental computing support. Pricing for Extended Services requires a discussion with the client in order to determine appropriate costs.

The rates CHaMP offers are pre-negotiated exclusively for the CHaMP program. The table below illustrates a sample of the vendors' service levels and list price. The list price is followed by the estimated rate the client receives going through procurement and, lastly, the rate negotiated by CHaMP.

The table illustrates sample rates based on common equipment on the CHaMP program. The rates vary depending on the equipment and the type of coverage. We used SUN and IntraServe Systems as a representation of the types of savings that could be obtained through CHaMP.
