Frequently Asked Questions — Axess/Online Pay Statements

  1. When I try to login to Axess, it asks for my SUNet ID and password. I dont have one; how do I get one?
  2. When I press the Login button on Axess, and then login with my SUNet ID and password, it just takes me right back to the Axess window to login again.
  3. I heard I can view my paycheck online. How?

  1. When I try to login to Axess, it asks for my SUNet ID and password. I dont have one; how do I get one?
    There is an online form for you to request a free Base SUNet ID. Go to http://sunetid.stanford.edu.

  2. When I press the Login button on Axess, and then login with my SUNet ID and password, it just takes me right back to the Axess window to login again.
    This typically means your security for the site is not correct, which is something that must be fixed in the system. I will refer your request to the security group for resolution. [Reassign to Administrative Applications/ITSS PeopleSoft HRMS]

  3. I heard I can view my paycheck online. How?
    Go to the Axess site: http://axess.stanford.edu, and press the Login button. You should then see a link called Pay Statement. Click on it, and your most recent pay statement will be displayed. From your online statement, click Other Pay Statements to see historical pay statements.

  4. I can login, but when I click on Pay Statement, nothing happens.
    Are you a new employee? You will not see any pay information until your first paycheck has been generated. If you are not a new employee and regularly receive paychecks or advices, I will refer your request to the security group for resolution [Reassign to Administrative Applications/ITSS PeopleSoft HRMS]

  5. What information does the online paycheck include?
    The same information that is on your pay stub or pay advice. It will show your gross wages, deductions including all taxes, net wages, and leave accruals. The before and after-tax benefits will also be summarized. If you have direct deposit of your pay, the bank name and account into which your pay was deposited will also appear. Year-to-date totals will appear on your most recent pay statement only.

  6. How do I print my online paycheck?
    Press the printer icon on your Internet browser to print it. It should print to your attached printer, whether you are at work or at home. The online pay statement prints as two pages.

  7. When I print my online pay statement, it cuts off the cents at the far right.
    You can easily reset your right margin on your Internet browser. Using Internet Explorer, go to the File menu. Select Page Setup. On the Page Setup window, reset the Right Margin to 0.3 (its probably on the default of 0.5). Press OK. Your online pay statement should now print in its entirety.

  8. How do I navigate back to the menu?
    Press the My Home link on the Axess menu bar. It is not recommended to use the 'Back button on your browser toolbar, as you could get a 'page expired message.

  9. Can I view my paycheck from two pay periods ago?
    Yes. When you view your most recent paycheck, theres a link that says Other Pay Statements. Click on that and youll see a listing of up to the last three years of pay statements. You can click on any of them to view and/or print. All employees see the last three years of pay statements, or, if youve been here less than three years, youll see a history back to your hire date.

  10. I don't see my vacation and sick leave balances.
    Accrual balances are at the bottom of the online pay statement and are coming from Kronos. You can also use Kronos to view accrual balances: http://kronos.stanford.edu.

  11. I don't want this online; please remove my information from Axess as its not secure.
    The site is powered by the PeopleSoft application, which, as for all administrative applications, is secured by the Stanford network and the network security staff. We are not able to remove your information since your job record is in PeopleSoft. You can personally safeguard your information by keeping your SUNet ID password confidential. You may wish to visit the Secure Computing site for more information on maintaining a secure password: http://securecomputing.stanford.edu.

  12. I'm looking at my pay statement from X pay periods ago. Where are the year-to-date totals?
    Year-to-date totals are only maintained on your most current pay statement.

  13. What does SCRP (or any pay statement code/acronym) stand for?
    There is a list of common codes or acronyms associated with your pay and benefits under the Pay Statement menu in Axess. Click on the Glossary of Terms link on the Employee Information tab.

  14. Can I view my student refund checks?
    Student refund information is maintained separately from pay information. You can see information on your student refund checks by choosing the Axess tab called Finances.

  15. Can I view my postdoc stipend (monthly stipend/fellowship)?
    Currently only employee pay statements are available. Please refer to the paper advice notices that are sent to your department for information on your monthly stipend.

    Yes, only your paycheck will display when you click on Pay Statement. Your bonus pay will be the first date listed when you click on Other Pay Statements.

  22. My name has changed; can you change it on my record?
    If your legal name has changed, your departments human resources coordinator or manager must change it in the system, so please contact that person. If you just want to set your preferred name (e.g., a nickname), you can do so on the StanfordYou site; go to https://stanfordyou.stanford.edu.

  23. My address is wrong; can you change it?
    You can change your address yourself by using the StanfordYou site; go to http://stanfordyou.stanford.edu to update your address.
