Installing the Outlook Connector

The Zimbra Connector for Outlook will configure Outlook to interact with the Zimbra server, allowing users to access their email, calendar, contacts, and tasks from Outlook 2003 or 2007.

Notes for existing Outlook users who are installing the Outlook Connector for the first time:

  • Prior to installing the Outlook Connector, please submit a HelpSU request and consult with your local tech support to be sure that this is right for you. This is especially important if you are currently downloading mail via POP because you will need to understand how to effectively manage your quota of disk space in this new configuration.

  • Running this software will create a new profile in Outlook and set Outlook to automatically use this new profile. Any mail you have saved in Outlook will not be immediately accessible. Be sure to read the instructions for opening an existing PST file.

  • lf you have Outlook filter rules that were created using the "Rules and Alerts" feature, you should export the rules, install the Outlook Connector, and then import the rules back into Outlook. To do this, go to Outlook and click Tools and then click Rules and Alerts. In the Rules and Alerts dialog box, with the E-mail Rules tab selected, click Options in the toolbar. In the Options dialog box, click Export and save the exported rules as a .rwz file. After installing the Outlook Connector, navigate back to the Options dialog box. Then, click Import to import the .rwz file.

Notes for existing Outlook Connector users:

  • Beginning with version 5.0.19 of the Outlook Connector, local rules defined in Outlook will run as mail arrives (previously they would only function if manually run).  Since this is new behavior for the Outlook Connector, this functionality will not be enabled when upgrading the Outlook Connector to version 5.0.19, but will only be enabled for new installations.  Existing Outlook Connector users who would like this functionality should uninstall the old version and then install version 5.0.19.

Install the connector

If you are upgrading to a newer version of the Outlook Connector, simply run the installer and it will ask you whether you want to upgrade. Your configuration settings are carried over.

  1. Download and run the installer for the Outlook Connector (v.5.0.19).

  2. When the Welcome to the Setup Wizard page is displayed, click Next to continue.

  3. Accept the terms of the license agreement and then click Next.

  4. Click Next to start the installation.

  5. If you already have a version of the Outlook Connector installed, you will be asked if you want to upgrade. Click Yes.

Configuration and synchronization

  1. Start Outlook.

  2. If you are using Outlook 2007, you may see the following warning when opening Outlook after installing the connector. To prevent the display of this warning:
    • On the Tools menu, click Rules and Alerts.
    • Under the E-mail Rules tab, select the rule named Clear categories on messages (recommended) and click Delete.

  3. The first time you start Outlook after installing the Outlook Connector for the first time, the Server Configuration Settings window will be displayed. With the Server Configuration tab selected, enter the following information:
    • Server Name: your sunetid.pobox.stanford.edu
    • Use Secure Connection: checked
    • Email Address: your sunetid@stanford.edu
    • Password: your SUNetID password

  4. Click OK to complete the process for creating your Zimbra profile.

    Note: If you have iTunes installed (or upgrade your version of iTunes) and launch Outlook, you may see the Unsupported Addin dialog box. Click OK to disable the unsupported addins.

  5. Outlook now needs to synchronize to the Zimbra server. This usually happens automatically and during synchronization the Send/Receive Progress dialog box is displayed.

    Note: The initial synchronization can take a while. Your calendar is synchronized first and needs to finish before any email is displayed. To judge the progress, go to the Tools menu and navigate to Send/Receive > Send/Receive Settings > Zimbra Show Progress to see the Send/Receive Progress dialog box.

    Note: After the initial synchronization, by default Send/Receive updates Outlook and the Zimbra server with changes made since the last sync. You will see the Send/Receive Progress dialog box often because of frequent updates to the GAL address book (StanfordWho).

    If you prefer to have the Send/Receive Progress dialog box display less often, you can disable the automatic updates to the GAL (Global Address List) and instead do them manually. Go to the Tools menu and navigate to Send/Receive > Global Address List > Manual. After doing this you should perform a manual update periodically by choosing Send/Receive > Global Address List > Update Global Address List.

Open an existing PST file (for existing Outlook users)

Installing the Outlook Connector creates a mail profile named Zimbra and designates it as the default profile. If you are already using Outlook, you can use the following process to open any previous Outlook storage files (.pst files) in which you have messages stored.

  1. In the Outlook File menu, point to Open and click Outlook Data File.

  2. Click the data file you would like to open (Outlook.pst is the most common) and then click OK.

  3. You will now see your previous files in the Personal Folders section.

    Note:  The email and other information stored in the "Personal Folders" section that is now available after opening the .pst file is all stored locally on your own machine.  In contrast, data available under "Zimbra - " section is all stored on the server and can also be accessed via Webmail.
