The Stanford Card Office oversees the production of new and replacement cards, maintains a database of active students (from Student Records) and faculty and staff (from Personnel), installs and maintains card readers, and assists in developing new Stanford ID Card applications.
Eligibility for a Stanford ID Card
Students
- All students eligible to register, except a few special non-Stanford ID Card categories
Faculty and Staff
- All University faculty
- Regular University staff (i.e., those appointed for at least six consecutive months and for at least 20 hours per week)
- All retired and emeritus faculty and staff
Courtesy cards (a $15 fee is assessed for all Courtesy cards)
- Spouses of those eligible for faculty, staff or student cards
- Same-sex domestic partners of students, faculty and staff
- Opposite-sex domestic partners of students
- Employees of Stanford Hospital and Clinics
- Certain other University affiliates as defined by the administration (contact the Card Office for a complete list)
Obtaining a Stanford ID Card
New students are sent an application form for obtaining their Stanford ID Card before their first quarter of registration. Students who do not receive an application can download a copy or they can obtain their card at the Stanford Card Office after they arrive on campus.
Employees eligible for the Stanford ID Card also obtain their card at the Stanford Card Office. Call ahead to ensure your personnel file is available (to ensure that all personnel forms have been processed and a Stanford ID number assigned).
Courtesy cards
To obtain your Courtesy Card, download a copy of the application form and bring to the Card Office along with photo ID (driver's license or passport). Spouse/domestic partner Courtesy Cards require proof of joint residence. Your spouse/domestic partner must accompany you when you apply, and must show their valid Stanford ID Card.
Lost, Damaged, or Stolen Stanford ID Cards
- If your card has been damaged, bring it to the Stanford Card Office. Staff can replace your card on the spot, using the same or a new photo. The replacement fee is $15.
- If the stripe on the back of the card becomes demagnetized, the Stanford Card Office will replace it without charge.
- If your card has been lost or stolen, report its loss to the Stanford Card Office immediately, so it can be suspended for all on-campus use.
- After your card has been suspended, come to the Stanford Card Office to get a replacement. In the case of theft, if you can provide some evidence of having filed a police report, the replacement fee will be waived. If you find your lost card after having a new card issued, cut up the old card and throw it away. The old card will not work after a new card is issued. If you have not yet had your card replaced, you can reactivate your lost card by visiting the Stanford Card office.
Change of Status with the University
Students
If you return to the University in the future, your card may be able to be reactivated, so keep track of your card if you intend to return to Stanford in the near future.
Staff
When your registration expires or your employment is terminated, the card will stop granting you access to University facilities and services. Stanford ID cards must be surrendered to an appropriate senior officer upon request.
