
TIPS HISTORY OF ACCOMPLISHMENTS

The following is a list of accomplishments in which TIPS has been an
active part of:

ELECTRONIC TRANSACTIONS POLICY (Ongoing)

To oversee & monitor the implementation of the Electronic Transactions
Policy, consisting of approving online transactions, monitoring
exceptions, monitoring new development, etc.

TIPS SPECIAL INTEREST FORUMS
----------------------------
The TIPS Working Group has sponsored a number of Special Interest Forums
to provide staff with information related to their everyday tasks, such
as:
10/90 How to Pay People for Personal Services
12/90 Transferring Expenses -- Online and Off
2/91 Everything You Wanted to Know About Travelling
for Stanford and More
4/91 Adding Computing Power to Your Department
4/92 Surviving the Payroll System
6/92 Beyond GFS: "So, you've entered your payments,
now what?"
These forums offer departmental staff in depth information and also
includes a question and answer period in which they can obtain advice
for their concerns.

THE DEPARTMENTAL SYSTEMS FAIRE (Feb.1990)
-----------------------------------------
Open to all administrative staff working in Stanford University
departments, the faire consisted of a one-day event located in the
Jordan Quad (Polya, Redwood & Forsythe Halls) featuring: a)
demonstrations of computer applications by departmental peers and system
developers; b) computing information booths staffed by peers and
experts; c) microcomputers and terminals reserved for hands-on
experimentation; d) a "futures" forum that discusses a vision of
departmental computing over the next three years.
The faire was a successful event opening the eyes of departmental
administrators and staff to new and upcoming developments.

CHRIS/PAYROLL SUBCOMMITTEE REPORT (May 1992)
--------------------------------------------
A subcommittee was assembled from the suggestion of the TIPS Working
Group to evaluate and write up a statement on "lessons of the Payroll
Conversion from the departmental prospective" to help central offices
plan and implement future conversions such as this one more effectively.
The statement is included in Portfolio.

TIPS TEAMS (1988-1990)
----------------------
The TIPS Finance Team and TIPS Personnel Team were cross sections of
administrative staff working together to solve common problems. Team
efforts resulted in the articulation of department needs in these
subject areas as well as development of some local systems to meet some
of their needs.

GENERAL COMMUNICATION AND FEEDBACK PERFORMED
BY THE WORKING GROUP REPRESENTATIVES (ongoing)

One of the main responsibilities of the TIPS Working Group
representatives is to relay information retrieved in the Working Group
meetings to their departmental staff. From this activity, the Working
Group has received many pilot testers for newly developed applications.
The Working Group representatives also supply feedback from the
departmental perspective in the implementation of such things as the
Electronic Transactions policy.

STATE OF COMPUTING
(Nov. 6, 1991 and ongoing - annually)

A presentation by the major application developers across campus which
focuses on development plans for the upcoming year. This presentation
was requested by the TIPS Governance Group as a way for schools and
departments to have a say in priority setting for development work going
on in the central offices.
The represented areas are SNAP, SUFIN, CHRIS, NSI, the Data Center and
the Office of Development. The invitees included the TIPS Governance
and TIPS Working Groups, DUNSI (Departmental Users of the Network for
Student Information) and other departmental administrators who are
interested in electronic applications development.

ROVING SPREADSHEET CONSULTANT (July 1990 - Present)

TIPS Working Group discussions led to the idea of a spreadsheet expert
who could do on-site consulting. A position was created in the Summer
of 1990 that included approximately two days a week dedicated to this
service. Roxy Harte, formerly of the Data Center, did over 210 consults
resulting in the development or improvement of many spreadsheet
applications in departments.

PERSONAL FIELDS IN PRISM (1989 - Present)

Personal Fields are extra fields that a user can add on to his/her
records in a Prism file. The TIPS Working Group and the TIPS Governance
Group made this their top priority in 1990. This led to a project to
develop Personal Fields now in use by a pilot group consisting of
administrators in departments.

CONTRIBUTING TO ADMIN SYSTEMS VISION

The Task Force for Administrative Systems asked TIPS to write up its
portion of the Administrative Systems vision to be included in the
Libraries and Information Systems Vision.

PROVIDED ADVICE UPON REQUEST TO INFORMATION
SYSTEMS DEVELOPERS WORKING ON CLASS APPLICATIONS

Systems developers in the Controller's Office and Sponsored Projects
Office have regularly attended TIPS Working Group meetings. Numerous
formal and informal discussions about departmental needs and priorities
have taken place over the years.

PROVIDED ADVICE UPON REQUEST TO CENTRAL
OFFICES UNDERTAKING NEW WORK INITIATIVES

From time to time Central Office representatives have approached the
TIPS Working Group to get feedback and advice regarding initiatives
they're undertaking. Two examples of this are:
- Human Resources: non-exempt training plans for new hires
- Networking and Communications: scheduling and other considerations
regarding impact of future telephone change installations upon faculty
and academic departments

SPONSORED TIPS/CLASS INVENTORY AND COLLABORATED
IN OTHER AREAS TO HELP INITIATE CLASS PROGRAM

The TIPS Working Group worked in collaboration with the Data Center and
the central offices on various efforts related to the startup of CLASS.
The most significant of these efforts was the TIPS/CLASS Inventory,
which was a survey of hardware, software, and administrative efforts in
departments.
