Planning Your Special Event
|
As your caterer, we will work closely with you to organize and coordinate your event. Below we have highlighted and summarized many of the details to assist you in this planning process. We realize that every event is unique and we can assist you with your individual requests as they arise.

Space Reservations
|
The
Stanford Faculty Club has space available
for events from five to 1,000 guests.
Room reservations may be made up to one
year prior to the event. To confirm a
date, a department sponsor or Faculty
Club member's account number must be
received at the time the event is initially
booked. All
sponsored events will be invoiced through
the sponsor's Faculty Club account. For
all non-member events, a non-refundable
deposit must be received before the reservation
is deemed definite.
Reservation and Space Usage Policy:
(Departments may book no more than one year in advance)
As an important venue to the University, the Stanford Faculty Club strives to accommodate as many department events as possible. At various high-use times during the year, there are often numerous requests for the same specific dates (e.g. holidays and graduation).
To accommodate multiple department requests for same date events and to maximize use of the Faculty Club requires minimum guest guarantees for these high use dates.
The minimums are:
150 guests with food and beverage
in the Main Dining Room
50 guests with food and beverage in the Gold
Lounge
25 guests with food and beverage in the Red Lounge
It is within the spirit of cooperation
with the University that the Faculty Club reserves the right
to move events to different areas
of the club than originally booked
if the minimum numbers are not met.
This is necessary to accommodate
as many of the University's departmental
needs as possible for these occasions. In doing so Faculty Club management
will attempt to anticipate the department's requirements and will
make every effort to not move an event to another area of the club
where it would have an adverse affect on the success of the event.
If a change in event location is necessary, the department will be
notified in advance. The Faculty Club has implemented this policy
in the best interest of the University as well as the Club and its
members.

Menu
|
All
food and beverage must be supplied, prepared
and served by the Stanford Faculty Club.
No food or beverage items may be brought
in. There are two exceptions: wedding
cakes with a $1.50 per person cake cutting
fee and client wine and champagne with
a $15.00 per bottle corkage fee. A 20% service charge and 8.25%
sales tax will apply to these charges. Menu selection and all event
arrangements must be finalized no later than 14 days prior to your
event. Availability of certain items may be limited if selections
are not made prior to this time.
Should
you wish to offer your guests a choice of entrees, please observe
the following procedures. The first course as well as the dessert
course must be the same selection for all guests. Entree choices
are limited to three selections. The quantity for each selection
must be provided at the time of your guaranteed count. The host
must provide place cards to identify your guests' entree choice
and should clearly indicate either by a color coded dot, or letters
such as (B) for beef, (C) for chicken, (F) for fish and (V) for
vegetarian. Please allow for these restrictions in your menu planning.
Also note that there will an additional $2.00 charge to all entrees
for every split in selections. For example, a single entree would
reflect the base price listed in the guide. Two entree choices would
increase the price by $2.00 per person and a three-entree choice
would increase the price by $4.00 per person. If a specific vegetarian
entree is required, it will be treated as an additional entree choice.
To ensure proper service and quality, we are unable to make any
exceptions to these policies
Local health department rulings prohibit banquet guests from taking food and beverage from the Club, with the exception of wedding cakes and client's wine.

Event Attendance
|
In order to ensure optimal food preparation and staffing levels for you event, we require minimum guarantees of attendance by 12:00 PM three (3) business days prior to your event. This number is not subject to reduction after that time. If you guaranteed count has not been received, your expect count will become your minimum guarantee. You will be charged for the minimum guarantee or the number of guests served, whichever is greater. Your guaranteed guest count may be increased until the day prior to your event if done so on regular business days.
Please encourage your guests to respond in a timely manner. Guests
who have not been included in the guaranteed
count will be accommodated as efficiently as possible, but we cannot
guarantee the identical menu selection or the amount of time it
will take to prepare additional entrees. Should you have reason
to expect additional guests, we suggest increasing your minimum
guarantee.
If you are taking advantage of the Main Dining Room Lunch Buffet, offered Monday through Friday, then you will be charged for the number of guests attending the event or 90% of your guarantee, whichever is greater.

Outdoor Events
|
|
The Stanford Faculty Club reserves the right to make a final decision to move any outdoor function inside to expedite the setup due to inclement weather.

Pricing / Charges
|
|
Please
refer to the Catering Guide for food and
beverage pricing. All services provided by
the caterer are subject to a 20% service charge and 8.25% sales tax.
Facility fee charges will be added for any room in the Faculty Club
and are based upon 4-1/2 hours of use. Overtime charges will apply
after 4-1/2 hours and are calculated depending upon which room is
reserved.

Payment Terms
|
|
An
itemized invoice will be forwarded to you
based upon the final guarantee made three
(3) working days prior to your event. The
Stanford Faculty Club submits all invoices
through the Faculty Club member's account,
or department sponsor's account with the
exception of non-university related events.
All events not hosted by the actual club
member are subject to a non-refundable holding
deposit to confirm the booking. Non-member
events, whether sponsored or not, require balance payment 48 business
hours prior to the event in the form of a credit card or
personal check. If paying by personal check
the check must be received by the club no
later than 5 business days before your event.
A credit card will still be required for
any additional charges incurred during your
event such as beverage consumption or corkage.
