Student Organizations: Must be registered
with the Office of Student Activities. Recognized groups fall
into the following categories: 1) voluntary student organizations,
2) fraternities and sororities, and 3) residential house governments.
The purpose of the event must be directly related to the activities
of the VSO.
SCHEDULING
All space is reserved on a first-come, first-served basis.
Requests for weekly organization meetings are accepted and
processed the last two weeks of each quarter. Series requests
must be submitted in writing listing each date separately.
We will deny your request if each date
is not specified.
- Fall requests may be submitted the last
two weeks of Spring Quarter.
- Winter requests, the last two weeks of
Fall quarter.
- Spring requests, the last two weeks of
Winter quarter.
- Summer requests, the week after commencement.
- It takes longer than 2 days to process
series request.
All requests must be made in writing. All
rooms are reserved through Tresidder Meeting Services, 650-723-4314,
Tresidder Memorial Union, 2nd Floor. Hours are M-F 8:00am
- 4:00pm. Requests may be made online, faxed or submit to
our office any time. ONE TIME EVENTS MAY BE SCHEDULED UP
TO ONE ACADEMIC YEAR IN ADVANCE. All requests must be submitted
NO LATER THAN TWO FULL WORKING DAYS OF PROPOSED MEETING.
ROOM FEES
Set-up fees apply to ALL events. You may waive the set-up
fee by requesting the room as is. Room fees apply when off-campus
people will attend your event.
PAYMENT OF FEES
When a fee is required, a signed ASSU Purchase Order is required
prior to the event. A registered student and authorized member
of the VSO must make the request. A deposit for conferences
will be required in advance to confirm reservations. ASSU
Purchase Orders will be billed after the event.
No custodial fees will be assessed, unless above normal cleaning
is necessary or if damage occurs.
CANCELLATIONS
When scheduling Oak lounge or Cypress lounge you have 30 days
from the date you reservation was confirmed to cancel your
reservation. If you do not cancel your reservation after 30days,
you will be charged FULL ROOM FEES. If you make the
request within 30 days of your event, full fees will apply.
When room fees apply to the other rooms, as $40.00
processing fee will be assessed if the event is canceled after
tentative booking has been made. If you do not cancel WITHIN
30 days of your event, full room fees will apply.
EARLY OPENING/LATE CLOSING
For access to a room before or after daily meeting room hours,
a $20/hour fee (for any part of an hour thereof) will be assessed.
Advanced approval from Meeting Services is required. Current
policy is maximum of 1 hour in the morning; maximum of 3 hours
after closing. (Friday/Saturday only)
LAST MINUTE REQUESTS
If needs requiring personnel response from Meeting Services
is received less than 2 working days in advance of the event,
a fee of $20 per request will be assessed in addition to any
other applicable fees, should the request be fulfilled.
AUDIO-VISUAL EQUIPMENT
Audio-visual equipment is available for rental. Equipment
is provided on a first request basis. Equipment rental costs
are $25.00 each for any of the following items.
- Podium with Microphone
- VCR and 25" Monitor
- Slide Projector and Screen
- Overhead Projector and Screen
- Flipchart
- Easel
- 6' x 8' Riser
Costs for special needs such as electrical
or telephone hookups are the responsibility of the client
and must be made with the proper offices.
LARGE ROOM SETUPS
To supplement labor costs for large room setups, the following
fees will be assessed a $20.00/hour for large setups. Room
setup fees are listed as follows:
- Oak Lounge $80 - $140.00
- Oak West $60.00 - $80.00
- Oak East $60.00
- Cypress Lounge $60.00
- Cypress Nother South $40.00
SKIRTING
Skirting for non-catering tables at Tresidder is available
with advance ordering through Stanford Catering (650) 725-1503
and events labor services at (650) 723-2285.
