Policy CLUBHOUSE POLICIES AND PROCEDURES

GENERAL POLICIES

  • The Clubhouse Auditorium is a general use facility available for meetings, workshops, lectures, receptions and occasional large social events sponsored by Voluntary Registered Student Organizations and University departments.
  • Scheduling priority is given to tenants of the Clubhouse (the Asian American Activities Center, the Native American Cultural Center and Campus Ministries).
  • Events scheduled may not conflict with other activities that occur in the Clubhouse and its Common Room. Loud or noisy events are only permitted during limited times; access will be permitted only during pre-identified times Saturday and Sunday and during the week.
  • Social events/dances are limited to two per quarter and are usually not scheduled.
  • Private events are not permitted.
  • Aerobic classes are not permitted.
  • In order to ensure adequate cleanup, events involving food an beverage, or more than 40 participants must submit an SU-40 at the time of booking.
  • The ballroom is scheduled as an "as is" space. The client will be responsible for setting up the room and take down. Limited furniture is available. Furniture must immediately be returned to storage after the event. Chair and table legs must have protective tips; furniture must not be dragged across the floor.
  • Wall decorations permitted are minimal. Tape, tacks and staples are not permitted on the walls. All decorations must be removed immediately following the event.
  • Smoking is not permitted in the Clubhouse.
  • Alcohol use must comply with the University's policy on alcohol.
  • Due to fire laws, events scheduled in the Clubhouse must not exceed 50 people in number.

PROCEDURES

  • Clubuouse tenants can schedule events up to one quarter in advance. Requests for priority must, be given to Tresidder Meeting Services by the Monday of the sixth week of each quarter, for the-following desired event.
  • Users that do not have Clubhouse keys must check out the key the day of the event from the Meeting Services Office-.
  • Users are expected to lock the Auditorium after the event and return the key to Meeting Services.
  • Failure to follow security, food, beverage and setup policies will result in fame or loss of scheduling privileges for the Clubhouse.
