These notes are intended primarily for consultants in the Stanford libraries
and in ITSS who answer questions about connecting to and using Folio.

Comments to Folio.Information@forsythe.stanford.edu
Under construction ...
Current Stanford ID-holders: Anyone with a current Stanford University ID and PIN (Personal Identification Number) can access Folio. A Forsythe computer account/userid is not required.
The preferred way for ID-holders to connect to Folio is:
1. telnet to forsythetn.stanford.edu
1a. or follow the dial-in instructions
2. At the "Account?" prompt, type "folio" (without quotes)
3. When prompted for it, type your University ID number
4. When prompted for it, type your PIN number
Technical note: This type of connection initiates a session on EN.FOL.
The Folio hotlink installed in Portfolio uses this mechanism, except that the "Account?" prompt is bypassed and you are simply asked first for your University ID and then your PIN. This type of hotlink is also installed in the Introduction to Folio document on the WWW, and probably in other Web pages.
Technical note: This type of connection initiates a session on EN.PFO.
The ID and PIN check that happens here allows all "active" IDs into Folio. Besides current students, faculty, and staff, this includes recent alumni (those whose ID numbers are in the University ID database). Note that the additional checks for "academic status" for some Folio resources only allow currently-registered students.
[? what about temporary IDs?]
"Folio account" holders: These are Forsythe computer accounts in the ED, EE, EM, EN, EZ groups that are distributed to provide access to Folio, but no other services on the Forsythe computer. Since these accounts are distributed only to "valid" Stanford affiliates, connections by this mechanism work the same as if you had typed a Stanford ID number, in terms of what you have access to. More details about "Folio accounts".
Forsythe account-holders: Anyone who has a Forsythe computer account can type "folio" at the command prompt to get into Folio. (Some files may have restricted access -- see below.)
People with external Forsythe accounts (V, W, X, Y, Z groups): Sometimes non-Stanford people purchase Forsythe computer accounts. They can type "folio" at the command prompt, but many Folio resources may not be selected by people with these accounts. See Non-Stanford people below.
Stanford affiliates without IDs: Hospital employees, visiting scholars, some retirees, spouses of students or employees, temporary employees, contractors -- to be supplied.
Non-Stanford people: Many Folio resources are restricted to Stanford affiliates only, and the primary clientele of Folio is the Stanford community. But where there are no legal or contractual or cost reasons to restrict access, Folio resources are open to the public.
The primary resource open to and of interest to "the world" is perhaps Socrates, the Stanford library catalog. List of Folio resources accessible if you connect this way.
The instructions for non-Stanford access to Folio are:
1. telnet to forsythetn.stanford.edu
1a. or follow the dial-in instructions
2. At the "Account?" prompt, type "socrates" (without quotes)
Technical note: This type of connection initiates a session on EC.SCN.
Socrates is also accessible in MELVYL -- many non-Stanford people know about MELVYL. [verify that there's no password prompt here, or restriction to UC affiliates]
Special arrangements with other universities:
Through reciprocal arrangements negotiated by the libraries,
the following other universities have access to selected
Folio resources:
- UC access (via MELVYL) to ERIC
- Berkeley access to GeoRef, Biosis, and ERIC
- Yale access to EI/Compendex and GeoRef
- Cornell access to GeoRef
- Columbia access to GeoRef
Connectivity questions from patrons at these institutions should be directed
to Roberta Lucier (roberta@forsythe.stanford.edu) in the Library/Folio Support
Team.
Completely public -- people who type "socrates" at the "Account?"
prompt have access to these resources only.

For this type of connection, 3 whole categories of the SELECT menu do not display at all: Student Information/Stanford Academic Life, University Policies and Procedures, and General Information for the Stanford Community. In addition, within other categories (like "Reference Shelf") many (most) resources are listed, but you cannot select them. A message is given to the effect that your type of connection doesn't allow access.
More public resources --
V, W, X, Y, Z accounts ("external" Forsythe accounts) have access to
"completely public" resources above, plus:

Most of the rest of the Folio resources are restricted to Stanford affiliates only -- people who supply a Stanford University ID and PIN at logon, or who logon with a "Folio account" or who logon with a regular Forsythe account (not an "external" Forsythe account).
One category of "Stanford-only" resource is library research databases, where access is provided through Stanford-only contracts purchased by the libraries. Some of these also have further restrictions to "academic affiliates" only within Stanford.
Library databases with Stanford-only access contracts:

For these resources, your SU ID number and PIN are checked to see if you are a current student, faculty, academic staff, or non-academic staff. Non-academic staff may not select these resources, under the libraries' contract with the suppliers.
This ID and PIN check is based on what's coded in personnel records (CHRIS) or student records (NSI). For faculty and staff, the "rule" is if employee status is A (active) or P (paid leave) and employee type is F (faculty) or A (academic staff) or O (other teaching) then the person is considered academic staff. There are a number of categories of people whose personnel records are *not* coded this way who would seemingly be categorized as academic staff -- emeritus faculty records sometimes don't fit this pattern; likewise consulting professors, faculty at Howard Hughes Medical Institute or VA Hospital.
Efforts are being made (fall 1995) to refine the lookup rules to identify academic staff. But in the meantime, affected staff should contact the Privileges Desk in Green Library to explain the situation. In some cases, Privileges staff may refer people to department administrators to have personnel records adjusted, if feasible, so that their ID status is marked as "academic staff". But in many cases a workaround means of access to these Folio resources is required.
That workaround is -- Privileges staff in Green Library can provide a "Folio computer account" and a "pseudo-ID" number to people who they judge legitimately should have access to the "academic-only" Folio resources. Note that both of these items are required. The person must supply the Folio computer account at the "Account?" prompt when connecting to the Forsythe computer. Then, after selecting an "academic only" resource in Folio, when you are prompted for an ID, the person should enter the "pseudo-ID" number.
Technical note: Currently we have a "gap" -- Privileges has the ability to enter a normal SU ID into the "pseudo-ID" exceptions file. However, if this person connects to Folio by typing "folio" at the "Account?" prompt and then entering ID number, they are not prompted for an ID again when they select one of these resources (except CAS). So, in effect, it does no good to have put the person's ID into the exceptions file. Workaround: give the person a "Folio account" with which to logon. Or if they already have a Forsythe account, they can use that.
Stanford-only, non-library databases:
Another category of "Stanford-only" resource is databases provided by various
Stanford offices, specifically for Stanford students or staff, and purposely
closed to access by non-Stanford people. Each office has its own policies
about who they wish to use this data and how they want to provide access:
* Awards (Non-Stanford access via Awards Consortium)
* Axess (current students only)
* Faculty Interests
* Odyssey
* Off-Campus Housing
* Student Employment
Internet connections are restricted to Stanford affiliates only:
* Computer Articles
* GLADIS
* Internet Access
* MAGS
* MEDLINE
* MELVYL

The dial-in instructions here illustrate the use of the word "forsythe" as the Username and Password when you connect to the high-speed modem pool. Normally at these prompts, Stanford affiliates enter their Leland ID and password.
This "forsythe" name was created specifically for people who need access to Forsythe (often access to Folio) but who aren't eligible for a Leland ID. There are several limitations when using this "forsythe" ID. Access is restricted to the Forsythe computer only. When you log out from Forsythe, your modem connection will automatically be ended. In addition, you can't use SLIP to establish a connection of this type -- you must use a terminal emulation program such as Samson.
"Folio accounts" are Forsythe computer accounts that provide access only to Folio, and not to any other services on the Forsythe computer. They are distributed to people who do not have current Stanford University ID numbers but who otherwise are given permission to use Folio resources.
Categories of people who legitimately get Folio accounts:
* Stanford Hospital employees
* Visiting scholars
[ not yet a complete list ... to be supplied ]
You do not need a Folio account if you simply want access to Socrates,
the Stanford library catalog. To connect to Socrates:
Folio accounts are distributed at library service points, mostly from the
Privileges window in Green Library and the information desk in Lane Library.
People are given a "Folio account form" with an account and password and brief
instructions for connecting to Forsythe. The form instructs people to
contact ITSS Customer Assistance for help with Forsythe connections,
or if you forget the account or password.
[supply copy of the account form text here]
To request more Folio account forms, contact Roberta Lucier in the
Library/Folio Support Team of ITSS.
Folio accounts may be closed or inactivated (password reset) when
they have not been logged on
for a while. This type of message indicates that the account has
been closed:
In this case, give the person a new Folio account, if they are still eligible.
Or encourage the person to logon with a University ID number and
PIN.
If the account is still open, but the password doesn't work, verify that
the account is still assigned to the person asking about it.
[add instructions]
If so, you can
reset the password
for the account so that the person can logon again.
Send email to Folio.Information@forsythe.stanford.edu, explaining the
situation, and a consultant will contact you.
The Off-Campus Housing database is restricted to current Stanford affiliates
only. The reason is that the homeowners/landlords supplying the housing
information have paid a fee to list in the database, on the understanding
that the information is going to Stanford affiliates only. This is the
agreement under which the listing privilege is sold.
The Community Housing Services office is responsible for the database.
Phone: 415 / 723-3906. People not affiliated with Stanford may call that office
to discuss
special arrangements for access.
Prospective students, faculty, staff, and visiting scholars may contact the
office to obtain a temporary account/password
for access to the database prior to their arrival here, if they can prove they
will be a member of the Stanford community.
All people given access by Community Housing Services use the same account,
ED.OCH. The Housing office sends the account and password, plus instructions
for connecting to Folio. (Instructions revised 7/95.) ED.OCH is a
regular Folio account,
except that SET PASSWORD is not allowed, and the Housing database is
selected by default when that account connects to Folio.

The "terminal type" most appropriate for Unix connections is XTERM. TELNET
processes do a "handshake" and set a terminal type in some cases. (This is
like "answerback" in Samson.) If the terminal type is set to XTERM, Forsythe
interprets/translates this to XTERM54, which also sets a screen height of 54
rows. This happens, for instance, if you connect using MacX.
If 54 is an incorrect screen height, you can use the SET HEIGHT command in
Folio to change it.
Another alternative is to specify a flavor of XTERM terminal type explicitly
when you logon:
The Introduction
to
Folio is an HTML document available on the WWW. It is no longer distributed
in paper form. But if your Web browser allows printing, you can print the
text of the document yourself.
Affiliated with Stanford, but not issued an ID
The SET HEIGHT command works within Folio. e.g. SET HEIGHT 40 for a 40-line
display. Type HELP SET HEIGHT in Folio for more information.
If using Samson, change the window height first, with the Samson controls for
the session. Then use SET HEIGHT command in Folio.
Note that
library public terminal setups are not configured to allow
changes of screen size.
The XTERM terminal type for Unix connections can be varied to
include a screen height setting.
You can't change the Samson window size at these workstations. So it will do no
good to change the Folio height setting with SET HEIGHT.

SAVE is not allowed at public Folio terminals. This restriction was placed
intentionally, many years ago, because of a wish to avoid having files
downloaded to public machines.
SAVE to a micro file is only allowed if you are using Samson, because that's
the only way that Forsythe supports downloads.
The SET LPRINT command is allowed within Folio, to specify the type of attached
printer you are using. Type HELP SET LPRINT in Folio for more information.
This is the same as the SET LPRINT command in WYLBUR, for WYLBUR and Prism
attached printing. (So HELP SET LPRINT in WYLBUR will give you information
about this facility too.)
To print to an attached printer from within Folio, type a normal PRINT command,
for example, PRINT 5/9, after you have a search result. When Folio asks for a
printer name, type ATTACHED. Shortcut: PRINT 5/9 TO ATTACHED.
Contact Roberta Lucier or Lynne Sinclair, in the Library/Folio Support Team,
for questions about how public Folio terminals are configured.
There are a number of settings, controlled by Folio itself, that
determine how these public terminals work -- what commands are allowed,
what files you can select, whether printing is allowed, etc.
Accounts used to log on to these public terminals are in the EC group.
Refer questions about EC accounts to Roberta or Lynne.
Besides the libraries, there are public Folio terminals in:
Type HELP EXPORT in Folio for instructions. The EXPORT display supports
downloading to bibliographic software packages. EXPORT is available in some
of the periodical abstracting/indexing databases. It is NOT available in
Socrates.
