PhD Officers
The PhD Association constitution
contains an overview of the organisation. This page details the specific
roles of officers.
All officers are required to attend a Party Planning Workshop organized by
the Stanford Office of Student Activities.
President
The president is primarily responsible for administrative functions
and acts as a liaison between students and the doctoral program
office/faculty and the university. Duties include:
- Registering the PhD Association with the University at the Office of
Student Activities (OSA) [early Fall].
- PhD Faculty Distinguished Service Award: solicit nominations, organize
committee to vote, and plan award ceremony [Spring].
- Meet with other association officers periodically to discuss budget,
activities, etc.
- Meet with faculty/administration periodically as a student
representative.
Vice-President
The vice-president is primarily responsible for new student orientation
and elections.
- Pre-Orientation activities [week before classes begin in the Fall]
- Contact new students in the summer before they arrive and provide them
with a welcome letter and basic information
- Assign mentors/buddies to each of the incoming students
- Orientation Weekend
- Contact the faculty liasons and administrative staff (e.g. library
reps, computer reps) who will be meeting with students and arrange the
schedule -- will work with the Doctoral Program office on this.
- Plan a day-trip for the weekend before classes begin (past years have
included trips to Napa or Monterey)
- Arrange an orientation dinner at a local restaurant.
- Elections for the PhD Association in spring quarter.
- Maintain the PhD Association Web page.
- Serve as safety coordinator.
Secretary
The secretary has primarily administrative responsibilities.
- Office Assignments/Lottery and Office Keys [late Summer]
- run lottery in late summer and maintain a current list of students
occupying each office for Building Services.
- listening to complaints about office assignments and officemates
- Vending Machine in PhD Lounge
- order soda from the Coca-Cola vendor and stock the vending machine.
- calls for maintenance/repair.
- handling money from the machine (converting change to cash) and
sending bills/money to the Treasurer
- counseling those undergoing Diet Coke withdrawal
- Copy Card Liason:
- assignment of personal copy card PINS/accounts to new students
- tracking usage of individual student accounts and sending bills to
Treasurer.
- handling student complaints and directing them to the Lanier rep in
the library.
- Library Liason: handling complaints or requests and directing them to
Paul Reist in the library.
- Office Phones: phones are free now, so this job should not require
much more than simply handling complaints.
- Black Mountain Water: handle orders and complaints, send bills to
Treasurer. Periodically clean out the green slime that accumulates in the
water reservior.
Treasurer
The treasurer is the primary financial officer for the association.
- Manage both the ASSU bank account and our SFCU account.
- create budget for the upcoming year [early Fall] and produce a basic
financial statement.
- attend meetings/training sessions regarding the use of ASSU bank
accounts.
- Payment of bills for vending machine, copiers, water.
- Handling reimbursements to students for association-related expenses.
Social Chair
The social chair organizes student gatherings and athlethic events.
- Organizing social events for other students, approximately once a
quarter (in the past these have included nights out at local bars, bbq's,
and parties).
- Orientation weekend:
- organizing a night out at a local bar to follow the orientation
dinner.
- preventing drunken phd students from attacking other bar patrons
- Intramural sports: send emails to other students notifying them of IM
activities available each quarter
- GSB-wide activites: inform students of
- Goodwill Games: "community-bulding" event held each fall for PhD's,
MBA's and Sloans...engage in "team-building" activities, eat BBQ and drink
beer.
- Challenge for Charity: give money to MBA's, join them and other MBA's
from UCLA as the play various sports/games, eat BBQ and drink beer.
- GSB Show: held in the Spring, a chance for students to showcase any
artistic talent they may have (skits/music), and possibly eat BBQ and
drink beer.
- LPF's: keep students apprised of especially good ones.
