How To:  Manage Favorites

To manage your favorites (edit details, move favorites to other folders, remove favorites, remove folders, etc.), click on the Favorites tab on your navigation bar.

Once at the Favorites tab, you will see a page that's divided into 2 sections. On the left‐hand side the folders appear (if you have created some). The right‐hand side displays the favorites or items that reside in the highlighted folder.

In the folder section, you will see 4 "action" buttons:

• New – This will allow you create a new folder. Clicking on it will give you the following 3 options:
  • Top level personal folder (restricted to your view only)
  • Subfolder of the selected folder (restricted to your view only)
  • Top level shared folder (restricted to a group of users you select)

  All options below are disabled until a folder is selected.

• Edit – Folder names can be changed. Clicking edit opens a window where the name and/or description of the selected folder can be edited.
• Move / Copy – Move or copy the folder to a new location
  
  Note:  You cannot move or copy a top level folder.
• Delete – Removes the folder and all of its subfolders
  
  Note:  You can only delete items from your Personal folder or a Shared folder that you have been assigned Admin privileges.

There are 2 primary means of placing orders using items in personal or shared favorites.

1. Shopping – If you do a product search and an item from favorites matches, it will be displayed in the search results at the top. An item in the search results that corresponds to a favorite will have a yellow star next to the quantity.
2. Favorites – You can go back to the Favorites tab and select a folder. Once the folder is selected, you will see the favorites stored in that folder to the right‐hand side. You can add the item to cart directly from there.

Stanford Favorites is a Shared Favorites folder containing specific product recommendations, such as popular software, ergonomic and sustainable items, compostable break room supplies, and tax‐free research alcohol. You can add these items to your shopping cart or copy an item to a personal folder. The Stanford Favorites folder is managed by the Procurement – Purchasing Services department. It is a method to guide user eyes to preferred and popular products.

Creating a Shared Favorites Folder allows you to create a folder that a group of people can use. As the creator of the folder, you can assign an access level to each user:

• Read-only (limited access) – Users can only add favorites from this folder to their shopping cart.
• Editor (mid-level access) – users can add and remove items in the folder.
• Admin (full access) – Users can add / remove items from the shared folder and add / remove users who can access the folder. Additionally, admin access users can add/remove sub-folders.
