How To: Schedule Reports in CMS (New Request)

Step 1 – Log in to CMS
- Go to https://ofweb.stanford.edu
- Enter your SUNet ID and Password
- Click SU CMS USER to open CMS
Step 2 – From the Reports Screen, initiate a Scheduled Request for reports
- Select Reports Tab
- Click View Previously Run Reports button
- Click Submit Request
- Search and select or enter Program Name: XXDL: SC Schedule CMS Reports
- Enter customized Request Name
Note: the Request Name can be used later to search for this request in "Copy Request".
- Click Next
Step 3 – From the Schedule Request: Parameters screen, select the accounts (PTAs) and report parameters
- Select at least one account (PTA) parameter from the following 8 options:
- My Favorites: Select the favorite for which you want to submit the report
- PI/Task Owner: Select the PI/Task Owner for which you want to submit the report
- Task Org: Select the Task Org for which you want to submit the report
- Task Manager: Select the Task Manager for which you want to submit the report
- Project: Select the Project for which you want to submit the report
- Task: Select the Task for which you want to submit the report. This option will be enabled only after selection of a Project (5).
- Award: Select the Award for which you want to submit the report
- PTA Nickname/PTA: Select the PTA/PTA nickname for which you want to submit the report
Note: you have to search and select either the PTA (if no nickname has been set up), or the PTA nickname, in order to activate the "PTA Period" parameter as described below.
- If desired, select other parameters:
- PTA Period: Select the PTA Period for which you want to submit the report. This option will be enabled only after selection of PTA Nickname/PTA (see above (a. 8))
- Commitment Type (CMS or Hard)
- Budget Type (hard or soft) from the drop-down menu
- Select at least one report in order to successfully submit a report request:
- 710: Account Balances None – Report will not be selected to run
• PDF – Report selected to run with "PDF" (see above (a. 8)) as output type
• XLS (Report format) - Report selected to run with "XLS (Report format)" as output type
• XLS (Data Only) - Report selected to run with "XLS (Data Only)" as output type - 720: PTA Overview
• None – Report will not be selected to run
• PDF – Report selected to run with "PDF" as output type
• XLS (Report format) - Report selected to run with "XLS (Report format)" as output type
• XLS (Data Only) - Report selected to run with "XLS (Data Only)" as output type - 720: Rollup Level – Required if 720: PTA Overview(2) is selected with any
• 2 - SuperGroups Only: Direct vs Indirect
• 3 - Group Subtotals Only; no Exp Types
• 4 - Group and Subgroup Totals only; No Exp Types
• 5 - Expenditure Types w/ Group Subtotals
• 6 - Expenditure Types only; no Groups or Subtotals - 720: With – Required if 720: PTA Overview(2) is selected with any output option other than "None".

- Click Next
Step 4 – From the Schedule Request: Schedule screen select scheduling options
- Select New Schedule, or Saved Schedule
- Simple Schedule
• Enter Start Date
• Apply Interval and increment date for Recurring schedule - Advanced Schedule
• Select Start date/time
• Select End date/time
• Specify recurring months/dates, and increment dates - Click Next
Step 5 – From the Schedule Request: Notifications screen specify email notification recipient(s)
- Enter email address for individual(s) to receive notifications of scheduled requests.
Note: Report originator automatically receives notification
- Click Next
Step 6 – From the Schedule Request: Delivery screen, request delivery option
- Select all default parameters.
- Click Next
Step 7 – From the Schedule Request: Review screen, review report parameters and scheduling options.
- Click Submit
- Click Next
What's Next?
- An email will be generated when the scheduled requests begin, with Request IDs of reports selected to run.
- From the Requests Summary Table, select reports to view or save
