Many companies plan receptions or information
sessions in Tresidder Union for interested Stanford students.
In order to help you plan an event that will be successful
and that will meet your specific needs, the following information
is provided.
General
Information
SCHEDULING
All rooms are reserved through Meeting Services (650) 723-4314.
Hours are M-F, 8:00am - 4:00pm. Requests will be taken online,
in person, or scheduling forms are available upon request
to download and fax in. All requests must be made in writing.
SPONSORSHIP
Conferences/Product Shows/Recruiters: must be sponsored by
a University department or registered voluntary student organization.
(Recruiters must be sponsored by the Career Development Center.
The purpose of the event must be directly related to the activities
of the department/organization and be of an educational nature.
The duties of the sponsor are described in the sponsorship
form, which must be completed by the sponsoring department
or organization. Receipt of the completed sponsorship form
and room fee/deposit will be required in advance for confirmation.
SETUPS
To supplement labor costs for large room setups, the following
fees will be assessed a $20.00/hour for large setups. Room
setup fees are listed as follows:
- Oak Lounge $80 - $140.00
- Oak West $60.00 - $80.00
- Oak East $60.00
- Cypress $60.00
- Crypress North or South $40.00
CATERING
Stanford Catering provides a full range of food. For detailed menus
and prices, contact the Catering Manager at (650) 725-1503.
FURNITURE
Room fee includes complete room setup using in-stock tables
and chairs.
SKIRTING
Skirting for non-catering tables at Tresidder is available with
advance ordering through Stanford Catering (650) 725-1503 and events
labor services at (650) 723-2285.
PAYMENT OF FEES
Fees must be paid prior to event by either cash or check.
We DO NOT accept credit cards. Fees are subject to change.
CANCELLATIONS
When scheduling Oak lounge or Cypress lounge you have 30 days
from the date you reservation was confirmed to cancel your
reservation. If you do not cancel your reservation after 30days,
you will be charged FULL ROOM FEES. If you make the
request within 30 days of your event, full fees will apply.
When room fees apply to the other rooms, as $40.00
processing fee will be assessed if the event is canceled after
tentative booking has been made. If you do not cancel WITHIN
30 days of your event, full room fees will apply.

SERVICES
AUDIO-VISUAL EQUIPMENT
Audio-visual equipment is available for rental. Equipment
is provided on a first request basis. Equipment rental costs
are $25.00 each for any of the following items.
- Podium with Microphone
- VCR and 25" Monitor
- Slide Projector and Screen
- Overhead Projector and Screen
- Flipchart
- Easel
- 6' x 8' Riser

Costs for special needs such as electrical or telephone hookups
are the responsibility of the client.
EARLY OPENING/LATE CLOSING
For access to a room before or after daily meeting room hours,
a $20/hour fee (for any part of an hour thereof) will be assessed.
Advance approval from Meeting Services is required.
LATE REQUESTS
If needs requiring personnel response from Meeting Services
is received less than 24 hours in advance of the event,
a fee of $20 per request may be assessed in addition to other
applicable fees.

INFORMATION
SECURITY
Although all rooms can be locked, the security and safety
of equipment or materials while on the premises is at the
liability of the user.
ELECTRICAL SERVICE
Any large or specialized electrical needs must be discussed
well in advance with the Meeting Services Office. It is the
responsibility of the client to pay all charges directly.
LOADING
A ramp is located at the southwest corner of the building,
on Lagunita Drive for easy loading. An elevator is also available
from the back patio area.
PARKING
A metered parking lot is available on Lagunita Drive, adjacent
to Tresidder Union. It is patrolled M-F, 7:30am - 4:00pm.
You may purchase parking permits at the Tresidder Information
desk located in the 1st floor of Tresidder Union.
AIR CONDITIONING
Although Tresidder Union is usually air conditioned, meeting
room temperatures may vary. We suggest you wear layered clothing
just to make sure you will be comfortable, particularly in
the summer.
EQUIPMENT* (subject to availability)
Equipment rental is $25.00 for each piece per day. If you
require a technician, there will be a $30.00 charge per hour.
We request that you reserve the equipment at the time you
request the room. Last minute requests (up to 72 hours in
advance) may no be able to be accommodated, but if so, an
additional late request charge of $25.00 will be assessed.

Requests will not be taken directly form the organization.

PREPARATION FOR AN INFORMATION SESSION
STANFORD'S GUIDELINES FOR ALCOHOL USE
Some companies choose to serve beer or wine at their event.
If this is desired, we ask you to plan your event in accordance
with Stanford's guidelines for alcohol use:
- When planning your event, please keep in
mind that the distribution of alcohol to persons under the
age of 21 is prohibited.
- Alcohol should not be the main "focus"
of the event. When advertising in The Stanford Daily, consider
describing your main event as a reception, open house, or
information session, with the main emphasis on your company
and not the alcohol served.
- Whenever alcohol is served, it is required
that you serve an equally attractive and equally abundant
nonalcoholic beverage. Food should also be served along
with the alcohol.
ADVERTISING ON CAMPUS
Many companies choose to advertise their information session
in The Stanford Daily,Stanford's daily newspaper. To place an
ad, contact the business office at (650) 723-2554 ext 401. Ad
deadlines are two days prior to the date of the desired publication
(by 3:00pm).
AT THE EVENT
When you arrive at Tresidder Union, you may contact the building
supervisor at the Meeting Services desk (2nd floor lobby).
