Applying for Research, Creative Arts, and Conference Grants

When applying for any UAR student grant, you need to understand thoroughly what is required of you in the entire grant cycle.
Download and review the UAR Grant Writing Timeline and use it as a guide to plan your grant preparations and project start date accordingly.
The following checklist is intended to help ensure that your grant application is complete. You are responsible for each and every item. If you find yourself answering "no" to any of these questions, your application may be rejected or delayed.
Checklist for Research Grant
- Have you examined the UAR eligibility criteria to ensure that we can consider your proposal?
- Have you worked with a qualifying Stanford faculty mentor over time to develop your ideas and refine your proposal?

- Have you taken courses that thoroughly prepare you for the methodologies that your project will use, including relevant courses required by UAR for off-campus fieldwork preparation, and human subjects training?

- Have you given your mentor(s) and field contact(s) a MINIMUM of three weeks’ notice that you will need letters of recommendation?

- Have you registered at the UAR Grant Application Portal and become familiar with submission requirements, including PTA information for faculty transfer and human subject payment, and direct deposit?
The following items are submitted through the UAR Grant Application Portal and are due by 11:59 p.m. on the day of the relevant deadline. Applications that are not completed by the deadline can only be submitted for a subsequent grant cycle. For current deadlines, consult the Student Grants home page.
- Have you written your student grant proposal? Have you included:
- your full name
- the title of your project,
- your project summary,
- a focused statement of your project's statement
- a critical analysis of your project's scholarly or artistic significance
- a detailed logical plan including information on how you have prepared yourself to implement the plan
- a proposed start date and timeline for your project, and
- concise line item budget

- If your project makes use of human subjects, has your Human Subjects Protocol been approved by the Stanford Institutional Review Board? If not, have you submitted it for approval on or before the relevant grant application deadline?
- Have you completed all three steps in the online UAR Grant Application Portal:
- submit complete proposal,
- confirm application information and accept the terms and conditions of the UAR Grant award, and
- enter the contact information of research mentor(s) and field contact for letters of recommendation.
All three steps must be completed before the grant deadline. Otherwise, the proposal will not be reviewed. UAR does not accept hard copy or email applications.
- Has a letter of recommendation written on your behalf by your qualifying faculty mentor been uploaded to your application in the Grant Application Portal? UAR will not automatically reject your application if your mentor’s letter is uploaded within three business days following the relevant deadline.

If reviewers approve your grant proposal, the following items must be completed before UAR can distribute any funds. Failure to complete these items may result in the cancellation of your grant.
- If your proposal was placed on hold, have you met all requested revisions to your proposal, and uploaded a complete, revised proposal at the Grant Application Portal? Has the UAR staff accepted the revisions as satisfactory?
- Have you uploaded your IRB approval notice to your grant application in the Grant Application Portal?
- Have you completed all preparatory coursework and other specific courses required by UAR?
- Have you uploaded documentation to satisfy UAR’s prefield requirements, which may include: proof of insurance, coursework, and embassy registration?
- Have you submitted a thank you note to the grant donor, and signed the waiver form at UAR (Sweet Hall, first floor)?
After you complete your project, you should plan to submit a final report and apply to present your work at SURPS or ASURPS. When reviewing a grant proposal, UAR reviewers consider your earlier record of UAR-funded project
