OK, I’ve read “Who must train?” and I still don’t think I’m a supervisor. Whom do I contact?
Ask the following designates to contact the Sexual Harassment Policy Office confirming your non-supervisory status:
University Staff: Inform your Human Resource Manager. University Faculty: Inform your Faculty Affairs Officer. SOM Staff: Inform Human Resources at 650-725-8615 or dstasi@stanford.edu SOM Faculty: Inform your Faculty Affairs Administrator (FAA) or the Sexual Harassment Policy Office at SHPO-Training@stanford.edu or 725-0646. SLAC: training_admin@SLAC.stanford.edu or 926-2265.
I’m the President of the University…do I have to take this training?
Yes, even John Hennessy has to complete this training!
I completed the training program in 2008. Do I need to take it in 2009?
California law requires employers to choose between a "training year" and "training date" method. Stanford has opted for the "training year" method and has chosen the odd-numbered years as our "training years." This means that all Stanford faculty and supervisory staff are retrained in the odd-numbered years. If you were hired or promoted in 2008 and took training in that year, you will need to repeat the training again in 2009, finishing by December 1, 2009. You will be on the two-year repeat cycle thereafter and won’t have to train again until 2011.
What about supervisors or visiting faculty/consulting faculty/acting faculty/senior fellows whose appointment at Stanford is for less than six months?
As a general rule, if an appointment is for less than six months, they are exempt from this training requirement (those invited to teach a class for one quarter, for example). However, if that visiting professor has an ongoing appointment and teaches for one quarter every year, they would need to complete the training, even if not on the Stanford payroll.
What about those who would be defined as a supervisor, but who work less than full time?
The amount of time worked is immaterial; whether there is supervisory responsibility or not is the deciding factor.
If you are unsure of your supervisor status, contact your Human Resources Office, your Faculty Affairs Officer, Faculty Affairs Administrator or the Sexual Harassment Policy Office at shpo-training@stanford.edu or 725-0646.
I recently attended a sexual harassment briefing for staff (held at Redwood Hall). Do I have to take this training?
These sexual harassment briefings are for new staff, but do not satisfy the AB 1825 requirement for employees who supervise. If you have been identified as a supervisor by your department or HR/FAA, you must comply with this mandated training requirement for supervisors.
I also work for (or used to work for) another California company and have already completed their training requirement in 2009.
A new supervisor who received training in the current training year from a prior employer need not be re-trained within six months of hire, but may be placed on a two-year tracking schedule based on their last training date. To receive credit for training taken with an employer other than Stanford, these requirements must be met:
Signed documentation from the company/organization’s HR office on company letterhead confirming:
The name of the individual who completed the training
The date the training was completed
In accordance with AB1825, the course was at least two hours in length and was conducted by experts in harassment law. It included the topics of harassment prohibition and prevention, relevant federal and state law and victim's potential remedies. It must have been interactive and included practical examples and ways to prevent harassment, discrimination and retaliation.
OR
An online completion certificate with the employee’s name from a recognized online training program specializing in AB1825 compliance (examples: Brightline, Workplace Answers, New Media Learning, Lawroom) will also be accepted.
In either case, the supervisor must also sign an acknowledgment that they have received and agree to read Stanford’s sexual harassment policy. (Admin guide 23.2) Documentation must be faxed to the Sexual Harassment Policy Office at
(650) 723-1307 or emailed to SHPO-Training@stanford.edu
I attended a Respectful Workplace Training (School of Medicine, School of Earth Sciences)
Although Respectful Workplace Training sessions incorporate sexual harassment issues and resources, they do not meet the requirements of this state mandated law. You will have to complete this 2-hour sexual harassment training to comply with the law.
I used to supervise an employee, but I don’t anymore.
If your Human Resources Office or Faculty Affairs Officer or Faculty Affairs Administrator can verify that you no longer direct or evaluate the work of other employees (including the supervision of part-time, temps, casuals or students), we can exempt you from this requirement. However, we need confirmation from your HRM, FAO, or FAA.
May I have an extension on the deadline?
Unfortunately, the law does not allow for exemptions. All university supervisors and faculty must complete training by December 1, 2009.
I’m retiring. Do I need to take the training?
Retirees are handled on a case by case basis regarding training requirements. Please contact shpo-training@stanford.edu or 725-0646.
My colleagues in other universities don’t have to do this; why do we?
Although sexual harassment training is offered at other universities, it is actually mandated for supervisors in the state of California.
