General Information for House Managers Battery Operated Carts: Exclusive of wheelchairs, battery operated carts (golf carts) are not allowed inside the house. Bicycles: Bikes should be registered. All bikes in summer bike storage must be picked up by September 30, 1999. Due to fire codes, bicycles cannot be left in any common areas and, in particular, the hallways and entryways. If bikes are kept in rooms, please do not install hooks in the walls or ceilings to avoid a damage charge at years end. Carpet: Damage to carpet is billed to your house except in the case of flooding due to plumbing problems. Liquid spills on carpet should be cleaned up immediately to avoid mildew. Cleaning Products: Contact your Facilities Supervisor with any questions or suggestions on cleaning procedures, products or problems. Click here to link to Suggested Cleaning Products and Supplies. Computer Rooms: Avoid taking food and drink into these rooms to prevent damage to the equipment. Students are responsible for the recycling of paper from the computer printer since custodians have limited access. In order to insure the security of the equipment, please make sure doors are locked when you leave. Damage Policy: The Facilities Supervisor and staff tour the residences regularly. If damage is found and it is determined to be student damage, the house will be notified of their financial responsibility (see Damage Billing Procedure section). Emergency Work Requests: Emergency work requests should be called, at any time, into the Facilities Maintenance Office (825 Escondido Village) (650) 725-1602. Excess Cleaning: Custodial staff are not responsible for post-party clean-up or returning plates and cups to the kitchen from common areas. Houses will be charged for this type of cleaning. Fire Safety: All student housing is inspected on a regular basis by the Palo Alto Fire Department for health, safety, and security code enforcement. It is very important that hallways and fire escapes are always kept clear. Houses will be charged for improper use of fire extinguishers in the house. Sprinkler systems are installed for safety reasons and must have an 18" clearance between the base of daisy wheel of the sprinkler head and any stored items such as boxes, plastic crates, etc. If storage is any higher than this then it obstructs the spray of the head. Furniture:
Grounds: All housing complexes have maintained grounds which are the responsibility of the University gardeners. We ask your cooperation by picking up papers, boxes, bottles & cans, etc. If you notice areas in need of attention, please let the Facilities Supervisor know. Please report broken sprinklers, over waterings, etc. House Heating: Please report irregularities to Housing Facilities. Be specific about locations, each house is unique in its furnace locations. Health and Safety: The hallways must be clear at all times. Exits must be clear at all times. Storage closets must meet all fire code rules, see enclosed. Health Inspector/Fire Marshal Reports: Provide a copy of all reports to your Facilities Supervisor and report any problems immediately. House Inspections: An inspection of your house will be conducted on a as needed basis by the Facilities Supervisor. The House Manager will be notified of any action items and accompanying due dates. House Improvements: Projects must be pre-approved. For more information contact your Facilities Supervisor. Laundry Rooms: If equipment is malfunctioning call Reliable at 1-800-954-9000 and report the problem. They will ask for the machine number located on the front of each washer and dryer. Maintenance: The University is required, in compliance with the union contract, to do all electrical, glass replacement, locks, most carpentry, plumbing, major painting, cleaning, and building alterations. Houses may not use non-University services for such repairs or improvements, with the exception of private title houses. Master Keys: Master keys are given to house managers and RAs to be used in emergencies only. Master keys are NOT TO BE LOANED OUT and are not to be carried around or left in any public place. No one other than the occupant of a room should be let into the room for any reason. All master keys must be returned to the RSAS at the end of your term. Managers who lose master keys will be charged $500. Losing a master key is a serious matter since it puts the house security at risk. You need to report the loss of a master key immediately to your RSAS so that rekeying of the house can be done as quickly as possible. Motorized Vehicles: Motorized vehicles must be parked outside in vehicle spaces and are prohibited, by fire codes, in or near buildings. Motorized vehicles do include mopeds. Murals: If you wish to paint any common area or student room murals, please submit your request and sketch of your artwork to the Facilities Supervisor, prior to beginning the mural. Students wishing to keep murals for the following year must have it approved, in writing, by both Facilities and the next years residents. Houses that have been renovated in the Capital Improvement Program (CIP) are not permitted to paint murals. Paint: Any room not painted the University approved color (contact your Facilities Supervisor for the approved color for your house) will be painted over at the end of the year at the student's expense. Parking: Parking permits are required in post places on the Row. Cars without permits may be cited. For more information please consult the Parking & Transportation web site. Pest Control: Please report problems with pests as soon as possible to the Facilities Supervisor. Be specific about the location of the problem. Pets: Pets are not allowed in houses (this included fish and reptiles). There is a $100 /day charge for animals in the house. The charge will be in effect until there is no further evidence of the pet living in the house and the owner of the pet signs a Statement of Compliance with the Row Office Phone Service: All repairs to campus phones should be called into Communication Services at (650) 723-1611. Plants: Do not water plants in the showers, bathtubs, and sinks due to the plumbing problems that result from plant soil in the drains. Recycling: Cardboard cartons should be flattened and put in the bin furnished by the ASSU Recycling Center. Wax cartons and tin cans cannot be recycled on campus. Newspaper, white/computer paper, glass, plastic, aluminum and colored paper should be recycled separately in bins provided. Call (650) 723-0915 for pickup. Repairs/Work Requests: Work requests may be submitted on "fix-it" forms submitted to the Facilities Supervisor via their mailbox at the Row Office, email or voicemail. The form (or message) should be specific about work needed as well as the location of the problem. Emergency work requests (i.e. flooding) should be called directly into maintenance (5-1602), if the Facilities Supervisor is not available. Room Inspections: Each resident should receive a three-part Room Inspection Form which should be completed and returned to the Row Office no later than Friday, October 3. This form provides the resident the opportunity to declare the condition of his/her room and contents upon arrival and reduces the possibility of your being charged for pre-existing conditions. The Facilities Supervisor will follow up on all reported problems and take corrective action as appropriate. It is important to know that if a resident elects not to complete this form, arguments about the condition of the room in June will not be entertained and the resident will be billed for all damages not accounted for on the Room Inspection Form. Security: Keep exit doors closed; do not prop them. Your house should agree on an evening lockdown system and a time each evening that all doors are locked. Smoking: Smoking is prohibited in University residences, including common areas and individual rooms. Please contact your Facilities Supervisor for the designated outdoor smoking area outside your house. Storage Rooms: Summer storage for personal items is no longer available, house property can be stored. All personal items should be taken to a central storage area for summer storage or taken home. The University takes no responsibility for stored items. Follow storage guidelines carefully to avoid fire and other safety hazards. Storage Room Fire Codes: Items must be stacked in an orderly way in the storage room with at least a 24" clearance between the stored item and the ceiling or 18" from the daisy wheel of the sprinkler to the stored item. An aisle must be available in large storage rooms to allow convenient access to any box at any time. No items may be hung on or stored on fire sprinkler system pipes. Failure to comply with fire safety rules could result in the loss of academic year storage space. Summer Mail: There is no delivery of mail to the Row during the summer. During the summer all mail addressed to the house will be returned to the sender by the U.S. Postal Service. Only students with Stanford P.O. boxes who have filled out the appropriate Postal Service forwarding forms will have their mail forwarded over the summer. Trash: Each house is responsible for making sure that all trash gets into the dumpster. If the dumpster is full and the cover can no longer completely shut; contact Housing Facilities. Houses will be billed when there is excessive trash and custodial staff must remove it. Student room trash needs to be disposed of in an outside dumpster. Vacuums: Keep the bag emptied for maximum efficiency. When the vacuum is not functioning properly, check if the is bag over 1/3 full, the belt is broken or the bottom plate missing. Housing Facilities have vacuum belts available. Student cleaned houses are responsible for repairs to their vacuum cleaner. A list of vacuum repair vendors is available through your Facilities Supervisor. Water Conservation: To support California's water conservation efforts, all of the faucets and shower heads are being converted to the restrictive type; please do not remove water restrictors. Urge residents to conserve water.
