The Distribution of Publications in the Undergraduate Residences.

Stanford residences strive to create environments where students have access to an open exchange of ideas and where they can critically examine events that affect student life on and off campus. The residences also serve as students' homes and as such allow students to determine how they are managed. In an effort to balance these goals the University encourages wide distribution of Stanford student publications and residential communities to locally decide on their own practices. Keeping these goals in mind the following policies have been developed.

Overview

Materials distributed in undergraduate residences must be sponsored by recognized student organizations or University departments. The distribution of corporate advertising, commercial informational flyers, newspapers, surveys or private business announcements is not allowed.

Flyers in the Residences

Flyers are allowed on bulletin boards that are identified by house staffs for on-campus business (e.g. University announcements, recognized student organization events). Student organizations can give one flyer per RA/CA to the Resident Student Affairs Specialist in the local office or deliver flyers to the central office of Residential Education (425 Arguello Way).

Distribution of Student Publications

Student publications may be distributed to undergraduate residences in publication racks (one slot per resident room) located in the lobby of all traditional dormitories. Every Fall Quarter, during the second week of the term, each house will vote on whether to have central distribution of publications in the lobby racks or door-to-door distribution. The results of the annual online vote will be posted on the Residential Education web site (referenced below). Door to door distribution will only be allowed in houses that vote in favor of this method.

In the Fall Quarter, Residential Education staff will host educational programs (in particular for the first year students) prior to the vote so that students are informed of what student publications are available on campus.

Maintenance of Publications Racks

Centrally located publications racks are provided as a resource to our student publications and community members. It is the expectation that all students and student groups respect that resource. The student publications community is expected to clear all old editions of publications upon delivery of the next. Recycling containers are available near all publication racks. Monthly or quarterly publications may be cleared from mailboxes by house staff earlier than the next edition (for example, room slots for vacant rooms or that have not been cleared in over a month).

Publication racks will remain in lobbies where door-to-door distribution is elected to allow the smaller or less frequently distributed publications the opportunity for residence distribution. All residential students and members of student publications must show good stewardship for the resource of the racks and the maintenance of residential lobby areas.

Questions about the policy on the distribution of publications in the residences

Any inquiries about the residence distribution policy or reports of violations of the house policy should be submitted to the Office of Residential Education, 425 Arguello Way, MC: 6038. Complaints of a policy violation will be forwarded to the Organization Conduct Board housed in the Dean of Students Office.
