Terminating Your Housing Contract
Most housing contracts extend through the end of the Spring Quarter 2008 (June 13, 2008) as long as you remain an enrolled student. If you cease your enrollment (or are enrolled in a Stanford program away from the home campus), you may terminate your occupancy at the term by completing a Termination of Occupancy form online. If you fail to give notice by the applicable deadline noted in the Residence Agreement, you are charged a $100-$200 late termination of occupancy fee. You are obligated to pay rent through the end of Spring Quarter/Semester 2008 as long as you remain an enrolled student. If you move out before the end of the spring term and remain enrolled, you will continue to be charged rent until the end of spring term.
See the online Termination of Occupancy form for the full details about terminating your contract and moving out of Student Housing. You can learn about fees and deadlines on the Housing Assignments web site.

Staying One Quarter After
Graduation
If your terminal degree is conferred at the end of autumn, winter or spring term, you may petition to remain in University housing while non-enrolled for one term immediately after degree conferral by filing a Post-Graduation Quarter Petition. Petitions are approved on the condition that all enrolled students can be accommodated. The University, at its discretion, may approve or deny all or a portion of a given population (e.g. undergraduate female, couple without children), based on projected demand. In the event that not all petitions are approved, priority will be based on date of receipt by Housing Assignments and reason for staying.
Petitions are considered for students who wish to remain non-enrolled Winter Quarter or Spring Quarter. Post-Graduation Quarter petitions are not granted for Autumn Quarter due to the housing demand from enrolled applicants.
Eligibility. In order to remain in University housing as a non-enrolled student you must:
- be an enrolled matriculated Stanford student during the term preceding your request,
- currently live in a University residence,
- be in good academic and financial standing with the University, and
- have your degree conferred by the first Thursday of the quarter in which you will be non-enrolled (your graduation quarter). (Please note: Degree conferral is distinct from the awarding of a diploma, which only occurs during Commencement)

Your Move-Out Deadline
The move-out dates for those terminating their contracts at the end of Autumn Quarter/Semester, Winter Quarter, Spring Quarter/Semester or Summer Quarter of the 2007-08 year are as follows. (These dates are subject to changes in the University academic calendar) Students who lose enrollment status during the year may have termination dates in the middle of terms, but this must be documented in writing from Housing Assignments.
Most contracts end at the conclusion of a term. Standard check out time is noon except for the end of spring quarter when check out time is 8:00 am. Student Housing reserves the right to change check-out times as required and will notify residents through the Student Housing web sites, termination form, Stanford email, or student newsletters. You are required to pay until the last day of your contract regardless of the date that you actually move out of housing. If you extend your housing beyond these dates, you will pay for each day in housing, and if not approved, at the unauthorized occupancy rates. Graduate students assigned to Row co-ops will follow the contract dates of Undergraduate Housing.

Unauthorized
Occupancy
As much as we wish students could be afforded a more leisurely
period of time to vacate at the end of the school year,
they can't. Each summer, conferences fill undergraduate
housing, with only two exceptions: houses that are being
renovated as part of the Capital Improvement Program, and
houses with summer students living in them. Between the
end of the academic year and the beginning of conferences
and summer school, we must inspect, clean, refurnish, make
repairs and replacements, paint, carpet, etc., to ready
all common areas and 3,183 student rooms in 80 undergraduate
residences. A whole other set of tasks -- many involving
the same staff -- must be accomplished in houses about to
be renovated.
In June, on average, we have about four hours to accomplish
this in summer student houses, and the first conferences
come in about 16 hours after graduating seniors leave on
the Monday following Commencement. With every unauthorized
late stay, crews of painters, carpet cleaners, repairmen,
furniture movers, window washers, and cleaners have to be
shifted around and redirected. Every time this happens,
precious time and money go down the drain.
In short, it's not easy to convert 1.7 million square
feet of student housing into conference housing in a few
hours, but we are required to do it (and conference income
goes a long way toward keeping the cost of student housing
down). You are responsible for making the needed arrangements
for moving out on time before the stated deadlines.

Cleaning
Cleaning. You are responsible for cleaning your room, emptying personal trash in outdoor dumpsters and recycling bins, using provided exhaust fans, and keeping your room in good order and condition throughout your residency in order to comply with health and safety codes and to minimize deterioration of the facility. If you live in an apartment or suite, you are jointly responsible with your roommate(s) for cleaning common areas of your apartment or suite. Apartment balconies or patios must be kept clean, neat and orderly at all times, and may not be used for storage. Cleaning guidelines are available on the Student Housing web site at http://studenthousing.stanford.edu.
Moving Out. When you move out, your room/apartment must be neat and clean, and all equipment and furniture must be in place and properly assembled. You will be billed for any needed cleaning, for movement and reassembly of furniture, and for the removal and disposal of any personal items you abandon. You and your roommate(s) (if any) are jointly responsible for cleaning the common areas of your room/apartment/suite (even if you remain in occupancy after a roommate moves out) and will share the cost of any cleaning needed in common areas.

Inspections
Prior to and after the move-out of residents (including you, your roommate(s), and/or previous occupants of the room) the University will conduct inspection, cleaning, and repair work in the room (including common areas in apartments and suites). You may request a pre-inspection of your room prior to move-out so you have the opportunity to address any concerns. Because of the volume of student move-outs, it is impractical to schedule individual appointments and inspections and work may be carried out over several weeks or even months. If you are absent from your room when inspection or work takes place, the University will leave notification of entry.
The University reserves the right to enter any room at any reasonable time at the request of a resident or with prior notice for the purpose of inspection, maintenance, or repair. The University reserves the right to enter at any time in cases of emergency. During the Autumn-Winter academic recess, inspections and repairs may be conducted in rooms in closed undergraduate residences while residents are absent.

Keys
and Security
- Return your keys at your residence office..
- Please do not prop doors open as this creates a security
risk for everyone living in your residence.
- Keep a close watch on your belongings as you move out;
thieves take advantage of moments of inattention

Moving Out Between Quarters
Please pay attention to e-mails and flyers regarding procedures
for moving out during the academic year. Make sure your
assigned room is left in the same condition as when you
moved in. Contact the Front Desk Coordinator and Facilities Supervisor if
you have a question. Anyone staying past their scheduled
move-out date or failing to vacate during Winter Break will
be charged $175 per day or a portion of a day past that
time. Additional disciplinary action and related charges
may also occur.

June Move Out
It is essential that you depart in June
by the published closing time (as noted in the Residence
Agreement), since many of the residences are used to house
family members of graduating seniors, and all University
residences house summer conferences. Make sure your assigned room is left in
the same condition as when you moved in. Contact
the RSAS and Facilities Supervisor if you have a question.
Anyone staying past the published closing time will be charged
$175 per day or portion of a day past that time.
Additional disciplinary action and related charges may also
occur.

US
Mail
Student
mail is not delivered to undergraduate residences. You may
obtain a Post Office box to receive mail at the campus post
office. You can pick up your mailbox key at Harold Module (632 Serra Street).
Package
Delivery
UPS
and some other package delivery services will deliver packages
to your room or one of their distribution points after you
move in. Residence offices do not accept student packages.
Telephone
and Cable TV
New students to campus need not apply for telephone service. The basic phone line with call waiting, as well as the in-room network connections will be active when you arrive. To determine your telephone number, dial 7-CALL (7-2255) from the residence phone.
Each bedroom has a jack capable of having a separate line with its own number and one wall phone already installed for your convenience. All telephone outlets will have the same number and you may plug your own phone into any of the jacks. Stanford provides basic phone service with call waiting, free local calling, and free domestic long distance, as well as a network connection with multiple IP addresses. This service is included in the Telecommunication Fee and is charged on your University bill. International long distance calls as well as 411 (directory assistance) calls must be placed using a code called a Personal Billing Number or PBN. The PBN can be ordered on axess.stanford.edu at your My IT Services Site.
An in-room phone feature package, including voice mail and Caller ID, as well as Cable TV are optional services which can be ordered for a monthly fee (students must provide their own Caller ID equipment and television sets). These optional services can be ordered on axess.stanford.edu at your My IT Services Site.
In apartments, the living room outlet can't be a separate line; it can only be an extension of a bedroom line. If you only have one line, a bedroom outlet must be the main outlet and the other outlets will be extensions. Because your phone line depends on the room you choose and whether you want to share a phone with your roommate, you cannot arrange for service ahead of time.
Stanford University Communications and Networking Services offers several different cable packages, which include national, international, and satellite channels, courses televised by the Stanford Instructional Television Network, and other special Stanford-originated programming. To turn on the cable television service, which costs approximately $28 per month for the basic analog package or $40 for the basic digital package, sign up for it when you turn on your phone line. You will need a 75-ohm coaxial cable with an "F" connector at each end to connect your TV to the wall plate in your bedroom or living room. Cables are available at Forsythe Hall in Room 190. If your tv is not cable ready, additional purchases may be necessary.
