Description

To receive a summer housing assignment at Stanford University, eligible students should submit an application online through Axess. (See Eligibility for details.) Also, note the assignment process and housing options for the summer term are different from the regular academic year; and the summer housing application is for housing during the summer term only.

If you are continuing your studies in Autumn Quarter and want to live on campus, you must file a separate autumn application: Based on your status, see either Undergraduate or Graduate housing – Apply for Housing section.

While space in Undergraduate housing is limited, we are typically able to meet the demand by the start of Summer Quarter for students with unrestricted residence choices. Special accommodations are offered to students with disabilities.

Choices

Undergraduate students who are continuing their studies for Summer Quarter have three options for housing:

  • Manzanita Park
  • Wilbur Hall
  • Mirrielees House (8-week contracts only)*

*NOTE: Mirrielees will be open to students through
August 16, 2009. As part of the University's Master Plan, the building will undergo room configuration changes as well as an interior painting project. These updates will take place beginning at the end of the 8-week summer session through the start of the 2009-10 academic year. Students participating in 10-week summer courses, or others planning to remain on campus throughout the summer-autumn interim period, are encouraged to apply for Wilbur or Manzanita to avoid moving mid-term.

Choose a
Contract Length

There are several contract length choices from which to choose.

  1. 8-Week Contract.
  2. 10-Week Contract.
  3. Special Contract: Single Undergraduate Students who are enrolled in a Stanford University Summer course with dates outside of the eight and ten week housing contracts may shorten their summer contracts to end at the conclusion of their summer class (see Summer Change Request form).

Groups

Applying in a Group with Friends

  1. Group members must be the same gender and applying for the same category of housing (undergraduate or graduate).
  2. You need jointly to determine a common group name and group password and write them on each application (see instructions below).
  3. Each group member MUST submit a housing application; a group cannot apply through one application.
  4. Group members are considered for housing as individuals first, but you will receive the same application number to have a better chance receiving the same residence.
  5. Group members who list the same residence choices in the same order have a better chance of being assigned together.
  6. Students who are not assigned to the same residence may petition Housing Assignments to have their group reunited in one residence.

NOTE: Keep in mind that you still may not be assigned to the same room/apartment within the residence if your group petition is granted. All petitions may not be granted because of space limitations.

Group names and passwords
Each must:

  • be between 5 and 8 alpha-numeric characters,
  • contain at least 1 numeric and 1 alphabetic character, and
  • have no special characters or symbols.

Group names and passwords are not case sensitive. Every member of the group must list the same group name and password on their applications to join a group. For example, group name: dont4get, password: 2floss

Additional Group Information:

  • In the Summer Lottery, your group application number will be a random lottery number; in the Waitlist round, it will be based on the date that the last member of the group submitted his/her application.
  • You may join a group with visiting undergraduate students or other Stanford undergraduate students for Summer Housing.
  • Specific room assignments will be based on contract length selection.
  • If the members of a group are applying for different contract lengths, they will be unable to share a room/apartment together.

Change/Cancel Your Application

Changing Application Information
You may change or rearrange the order of your residence choices, add and remove group names or change your contract length at any time until the pertinent application deadline. These changes can be submitted via Axess. Once the pertinent application deadline has passed, you may only change your contract length after assignments are announced and before July 31, and only then by petition through a Summer Contract Change Request form and with a $25 administrative fee. Please consider your contract needs carefully.

Withdrawing an Application
You may withdraw your Summer Housing application without financial penalty by the pertinent application deadline. In order to withdraw an application, students must notify the Housing Assignments office in writing (email, fax or postal mail), as this change cannot be submitted via Axess or accepted over the phone. Residence Agreement, Terms & Conditions
All students who apply for housing must sign a Residence Agreement, a legal contract that governs the term of occupancy and conduct in University housing (students who respond to assignments in Axess sign electronically).

  • Respect – One of the most important principles of the Residence Agreement is your obligation to be considerate of other residents and the residence staff and to respect the rights of others at all times.
  • Diversity – Stanford's residence community includes students and staff of different gender, race, ethnicity, religion, and sexual orientation. This diversity is highly valued at Stanford and contributes toward the social, cultural, and intellectual life of students.
  • Conduct – Conduct in violation of the rights of others is not tolerated and is grounds for the immediate termination of your occupancy in University housing and/or the withdrawal of future University housing privileges. Such conduct may also result in University disciplinary action under Stanford's Fundamental Standard of student conduct.
  • By submitting an application, you agree to comply with all University policies in the Residence Agreement.

Summer-Autumn Interim Housing

Summer-Autumn Interim Housing is the period of time between the end of the 10-week summer contract and the beginning of the undergraduate autumn housing assignments.

  • Summer-Autumn Interim is optional only for continuing Stanford Undergraduate students with a 10-week summer contract and an Autumn assignment.
  • Undergraduate students who apply in the Summer Lottery will add Summer-Autumn Interim through the online Summer Change Request form. The form is available from the beginning of July until July 31. The timing should be helpful to students uncertain of summer plans when they are applying.

Moving during Interim

  • Students who select Summer-Autumn Interim Housing will likely have to move to a different room or residence for the interim period prior to moving into their Autumn Quarter room assignment.
  • All moves from Summer Housing into Autumn Housing typically occur within the first two weeks of September.
  • There is no flexibility in these move dates and times.
  • Make sure you will be available during these times before requesting Summer-Autumn Interim.

Meal Plan
There is NO meal plan during the Summer-Autumn Interim period.

Only Full Interim Housing
You cannot select only a portion of Summer-Autumn Interim Housing. If you need housing for any portion of that time, you must opt for the full interim period. You must also be available to move from summer housing into your fall assignment on your summer-autumn interim move-in date (see chart below).

If you are Staff or Required to be on Campus

  • If you will be Residence Staff in your Autumn assignment and you select Summer-Autumn Interim, you will only be charged for the interim period prior to the start of your staff position.
  • If you are required to be on-campus before the start of your Autumn Quarter contract due to participation in an on-campus group or organization (including those who will move into a specific residence for the program), and wish to remain in continuous occupancy until the start of such a program, you should request Summer-Autumn interim. You may contact your department about reimbursement for a portion of the interim expenses.

Billing
The rates for Summer-Autumn Interim Housing are based on your Autumn Quarter assignment and will be charged to your autumn University bill. Visit the Summer Dates, Rates, and Billing web page for the interim rates.

Length of Summer-Autumn Interim
Summer-Autumn Interim Housing is only available to those students with Summer and Autumn assignments and for the entire interim period.

You are obligated financially for both
the full interim and the 2009-10 academic year if you remain in occupancy after September 2, unless the following is approved:

  1. A petition for release from contract to Housing Assignments
    or
  2. A late-departure request to your local Residential Education office

Summer-Autumn Move Dates
Refer to the move chart below to determine the date and time you are scheduled to move to your Autumn Quarter residence.
Remember:

  • Summer Mirrielees residents will have to change rooms at the beginning of interim prior to making the move into their Autumn residence.
  • Manzanita and Wilbur residents, who add Summer-Autumn Interim to their contract, may also be required to change rooms at the beginning of interim prior to the move into their Autumn residence.

Summer and Autumn residences are below with corresponding key pick-up and return:

  1. First column – your Summer residence
  2. Second column – your Autumn residence
  3. Third column – the date/time your autumn keys are available
  4. Fourth column – the time by which you must move out and return your summer keys.

NOTE: Actual list of available residences may change for Summer 2009.
Students will not be able to move into their Autumn assignments unless they are enrolled for Autumn Quarter and have cleared any holds.

Delays in Moving
Some students may move in to a room or apartment that is simultaneously being vacated by another student. As such,

  • the student moving in may need to wait until the vacating student has returned their key and the room has been inspected and cleaned.
  • Please be considerate of other residents who are moving in on these later dates.

Alternate overnight accommodations will be offered if your apartment is not available on your move date.

Application Instructions
  1. Read all of the Apply for Summer Housing information on our website before filling out your application. 
  2. Use the summer application Worksheet for Axess to record your answers to application questions prior to logging into Axess to submit your application. (Choose residence choices, contract length, group members if applicable, etc.)
  3. File a Disability/Medical Accommodation Request form for special assignment consideration if you are a student with special housing needs due to a disability or documented medical condition, or you have a spouse, domestic partner or child who is disabled.
  4. Apply by the Summer Lottery deadline. This guarantees on-campus housing if you rank all residence choices.

    Note: Do not list any choices you don’t want. THERE ARE NO REASSIGNMENTS FOR SUMMER QUARTER.

  5. Apply in a group with up to three friends, if you like (for single students only). Students must be the same gender and apply as an individual. (See ALL requirements for Groups.)
  6. Allow plenty of time to submit on Axess. Do not wait until shortly before midnight on the application deadline date to apply. Stanford's computer system may slow down due to heavy usage, possibly causing your application to be entered late.
  7. Reapply for the Summer Waitlist if you are not offered an assignment during the initial assignment round.
  8. Attend the daily Walk-in Meetings (if you don’t get assigned on the Waitlist round) in the Housing Assignments office. Meetings begin after the Waitlist results are announced and continue through mid-late July.
  9. Change your residence choices (if you wish) for the Waitlist round and/or during the walk-in period.

To Apply Online

When you are ready with your completed Worksheet, use the brief instructions below to submit your application on Axess.

To apply online in Axess, you will need:

  • Your Stanford ID number (look for your Tentative Student ID on your Response to Offer of Admission form).
  • Your Stanford University Network ID (SUNet ID) which you can set up at http://sunetid.stanford.edu/ (allow one to two working days for processing).
  • A web browser enabled with cookies and javascript.

You may apply for only one type of housing (single, couple, or student with children) for a given quarter or semester. If your status changes, you must re-apply for housing suitable to your new status.

To log onto Axess:

  • Go to https://axess.stanford.edu.
  • Select “R&DE Application.”
  • Select “Submit application or renew contract” and follow the prompts.
