| Co-ed groups are able to use the group retention feature—they will be kept together through any choices for which they choose group retention and if they list the same housing choices in the same order. |
| General |
If you want to be assigned together with other students, you need to apply on Axess individually and list your group name and password to draw together as members of a group.

Policies About The Group |
- Groups have a maximum size of 8 people.
- Each group member must have the same guarantee and Tier level status.
- All members of the group must be seeking assignment in the same term (quarter).
- Groups can be co-ed or single gender.
- Each group member must individually apply in Axess and join the group during “The Draw” application period between April and May.

Name & Password |
- Group members jointly need to determine a group name and group password. (Choose a group name that is not easy to duplicate.)
- The group name and password must be different. Each must have a minimum of five characters (No symbols allowed; letters for the password are case sensitive).
- The group member to submit a housing application first creates the group by entering the group name and password.
- Subsequently, each member of the group then files his or her own housing application and selects to join the group by entering the same group name and group password. Please allow a few seconds for the group information to post before the next person attempts to join.

Synchronize Your Group |
- As designated by the group creator, each group member must be using the same tier level as the creator of the group.
- If you choose to list theme houses, focus houses, and/or co-ops as residence choices, all members must meet the qualifications to live in the house. (If one person does not meet the qualification and they are assigned to the house, they will be removed before the in-house draw and will have to go through reassignment.)
- If you apply with a student who has applied for Special Disability assignment, review the information on the Special Disability Assignments page.
- Groups applying for the Governor’s Corner Suites must be in groups of four or six.
- Gender-neutral room assignments are allowed in Mirrielees, Castaño, Terra, Narnia, Governor’s Corner Suites and EBF.
- When applying for the Autumn Waitlist or for Winter- and Spring Quarter, students cannot have random (numbers given out if you apply by the Draw deadline) and sequential (numbers given out after the draw deadline) numbers in the same group (see exception below):
a. Students with random application numbers (first-round draw numbers) can only apply with other students with draw numbers and must have applied by the May group deadline.
b. Students with sequential numbers can only apply with other students who have sequential numbers.
c. Exception: Students can petition to be joined together in a group, as long as they are willing to accept the worst number in the group.
- Each group receives one draw number for all members.
- In order for groups to be kept together, they must select the same housing choices in the same order. (Due to the large number of choices available, Housing Assignments is not able to audit this information; so you will be split if you list your housing choices in a different order from the rest of your group.)
- If your group lists general choices such as “Any Lagunita”, “Any Co-op” or “Any Co-ed Dorm”, your group may be split between the residences which make up that choice, even if you have group retention set.

Changes / Forfeits |
- You can change groups (join or leave) through the “Draw” May application deadline. To see other members in your group, review your application online.
- No changes may be made to group members after the May “Draw” application deadline, including replacing group members if a member withdraws (with the exception of groups drawing for the Suites).
- If applying for the Autumn- Winter- or Spring Quarter Waitlist, students may change residence choices until the Waitlist deadline for each of those quarters.
- When you apply as a group you generally forfeit more popular housing choices.
NOTE: For groups to be kept together, they must select the same housing choices in the same order. If you apply as a group for the Winter Quarter Waitlist, your chances of being split is much greater than when applying for Autumn Quarter or Spring Quarter.

| Group Retention Feature |
The group feature is designed for students who value staying together more than they value drawing separately into more popular dorms.
You will have the option to indicate on your housing application your most important choice:
- Staying together or
- being assigned to a specific residence.

| When a group applies in Axess, members will be asked to confirm
the following statement: |
I would rather be assigned to housing lower on my list of choices than be split from my group.
- Yes
- No, I do not want to forfeit more desirable residence choices in order to be kept together with group members.
If Yes, indicate through which choice you want to be kept together with the group.

| Applying for Winter- or Spring Quarter? |
- It is unlikely all group members on the Waitlist will be assigned to the same residence for Winter- or Spring Quarter; there are a few spaces available in individual houses or at Oak Creek. (Note: Since group retention is not active during the Waitlist assignment round, the computer will not shunt students’ positions down to a lower choice in order to keep them together.)
- Group members who were assigned in the Draw and who join the Autumn Quarter Waitlist for reassignment may not petition to reunite their group if it is split on the Waitlist.
- Group members who are split on the Winter- or Spring Quarter Waitlist may also not petition to be reunited.

| Filing a Split-group Petition |
If you are a member of a group that is split after the Draw and you want to be assigned to the same residence, you may petition at Housing Assignments by the late May deadline – see Calendar and the Split-group Petition. Every attempt is made to reunite split groups by the start of Autumn Quarter, but only if
- your group was not split because members selected different group retention choices;
- all members have the same tier level;
- all members listed the same choices in the same order in the Draw;
- and all members petitioned by the deadline.
