Undergraduates

New this year 2009-10

  • Students living on the Row, including Fraternities and Sororities will have their housing and dining charges on their university bill in Axess. (Exception: Sigma Chi and Chi Theta Chi, the private title houses, will continue to bill their residents directly.)
  • All undergraduate students will be billed per quarter according to a new “flat rate.” This means that even though the number of days in a quarter may differ slightly, the rent will be the same per quarter.  Early arrival, late stay, and unauthorized occupancy charges will still apply as explained in the Residence Agreement.
  • The new Crothers Hall and Toyon Hall will now receive meal service through Stanford Dining. Rates will be assessed in conjunction with Stanford Dining plan rates.

Rates

Student Housing Rates
The Undergraduate Housing and Dining Rates, based on a charge per student for the academic year, are listed on the housing rates chart. These rates are approximate and subject to change. The single-student housing rates reflect the charge per person and are based on a flat rate per quarter.

Board Options and Rates
The projected board rates for the academic year are listed on the housing rates chart also. Board plans are required in all undergraduate residences, except Mirrielees, and are now billed for all students through Student Financial Services on a quarterly basis.

Academic Recesses
The interim period, between summer and autumn terms, is billed separately for single undergraduate students. There is no separate fee charged for single students for the autumn-winter and winter-spring academic recesses, as long as students remain in continuous occupancy. If you move out during or shortly after one of these recesses, prorated rent for the break is billed.

Non-contract Daily Fees
All students who are authorized to move in (or arrange to move in) before the general opening day of residences, or extend beyond the end of their contract for any quarter/semester, are billed for these days. The rate for these extensions is slightly higher than the regular rent per diem rate. Please note that these fees are for authorized early arrivals and extensions only. Unauthorized occupancy for any period is charged at $175 per day or portion of a day.

Mandatory Rates
Students will be charged the following mandatory rates through Student Financial Services while living in University Housing. These rates are available on the housing rates chart:

  • Rent per quarter:  This fee includes a furnished room in an undergraduate residence and includes utilities (except telephone, cable, and Ethernet)
  • Board Plan: The type of plan varies between the various residences and is required in all undergraduate residences except for Mirrielees. 
  • Telecommunications fee: This fee includes land-line telephone and access to Ethernet
  • House Dues: varies depending on where you live

Optional charges include:

  • Cable Service
  • Parking Permits
  • Early Arrival Fees - if you are given permission to arrive early
  • Interim Housing Fees - if you stay between summer and autumn
  • Late Stay Fee - if you are given permission to stay for commencement and are not graduating (Spring Quarter only)
  • Cancellation fees and/or Termination of Contract Fees - will be assessed if you miss deadlines as indicated in the Residence Agreement
  • Unauthorized Occupancy fees - will be assessed if you do not turn in your key to your Housing Front Desk and vacate housing before or on the date that your contract ends; or if you arrive early without authorization
  • Contract Breaker Fees - will be assessed if you leave housing before the end of your contract and you are still an enrolled student at the home campus

Payment Information

Billing and payment services are delivered electronically on a monthly basis through Stanford's online billing and payment service, Stanford ePay. Bill notification is sent to a student’s stanford.edu email address as recorded in Axess. More information about Stanford ePay may be found at http://epay.stanford.edu.

Student accounts that become past due are subject to financial holds that block enrollment, course changes, transcripts, and diplomas. Acceptance of payment of delinquent rent does not waive Stanford's right to terminate your occupancy for any other breach of the residence agreement. Acceptance of partial payment of delinquent rent does not waive Stanford's right to terminate your occupancy for failure to pay other outstanding rent.

Payment Methods
Stanford offers the following payment methods:

  • eCheck via Stanford ePay: We highly recommend this method of payment. Stanford ePay is the online method for making payments to your University or StanfordCardPlan (SCP) accounts. eChecks are accepted from United States bank accounts. No service charges apply to payments made by eCheck.
  • Credit card via Stanford ePay: American Express, Master Card, and Discover credit cards are accepted as forms of payment on the University Bill. A non-refundable convenience fee of 2.75 percent applies to credit card payments.
  • Check via mail: Check payments may be sent to the University Cashier’s Office, 632 Serra Street, Room 150, Stanford, CA 94305-6036. Checks must be drawn in U.S. funds payable through U.S. banks and must not be post-dated. Checks must be made payable to Stanford University and include the student ID number.
  • Wire Transfer: The University accepts payment to student accounts via direct wire service. Students living overseas find this option particularly convenient as they may wire funds directly from overseas banks to the University for credit to the student account.
    • All wires must reference the student’s name as well as the student’s Stanford University ID number.
    • Your bank will typically charge a service fee to initiate the wire transfer.

    • If the wire transfer is not posted to the student account in five business days, please contact the University Cashier's Office at (650)723-1676 and provide the details of the wire instructions for follow-up.
  • Walk-in: Customers may visit the Cashier’s Office at the Maude Modular (632 Serra Street, Room 150) between 9:00 a.m. and 5:00 p.m. on weekdays. The Cashier’s Office accepts personal checks, Travelers checks, cashiers checks, and money orders (U.S. funds payable through U.S. banks). Stanford does not accept post-dated checks. Credit or debit cards are not accepted for in-person payments at the Cashier’s Office.
  • Drop Box: For your convenience, a check payment drop box located outside of the staff entrance of the Maude Modular is available 24 hours daily.

Billing Information

Fees for room rent (except in private-title residences, fraternities and sororities), telecommunication fees, and meal plans are charged on the University Bill prepared by Student Financial Services.

  1. For Undergraduate students, all term charges are due the 15th of the month prior to the start of the quarter unless otherwise specified.
  2. All other charges are billed monthly.
  3. Bills are generated on the 20th of each month and due on the 15th of the following month.

If you are assigned housing after the beginning of the quarter/semester, you will be billed on the next billing cycle after the charges are incurred. If you are reassigned at any time during the year, your rent will be adjusted effective the date you check into the new residence. The balance of the rent adjustment will be due according to the next monthly billing cycle.

The Student Services Center (SSC), located on the second floor of Tresidder Memorial Union, is available to answer questions regarding the University bill.
