Once you have been assigned to a Summer residence, you can logon to Axess and view your assignment. This section will inform you about:

Room/Apartment & Roommate Assignments

There are three ways in which students receive their summer room/apartment and roommate assignments:

  1. In-house draw – for undergraduate students in the Summer Lottery
  2. Housing Front Desk – for students assigned to Single Graduate, Couples without Children and Students with Children Housing
  3. Residential Education – for undergraduate students assigned to housing through the Waitlist round or Walk-Ins Meetings

Undergraduate Housing
Specific room/apartment and roommate assignments, for undergraduate students assigned through the Summer Lottery, are determined in an in-house draw, which occurs shortly after the Summer Lottery. The in-house draw for Mirrielees, Wilbur, and Manzanita is run by Residential Education.

All in-house draws will take place at the Wilbur Dining Hall from 7 – 9 PM.

  • Manzanita – Tuesday, June 2, 2009
  • Wilbur – Wednesday, June 3, 2009
  • Mirrielees – Thursday, June 4, 2009

Graduate Housing
Specific room/apartment and roommate assignments are made by the Housing Front Desks after students have accepted their housing assignments to Single Graduate, Couples without Children and Student with Children Housing. You may contact your Housing Front Desk after you have accepted your assignment if you have any questions about room or roommate assignments.

Mailing Address
We advise you to wait until you move in before you

  • ship items or
  • notify friends and other correspondents of your address, and
  • before you have personalized checks printed.

Stanford is not responsible for any costs incurred by you due to changes in your room or apartment number. If you must ship belongings before your arrival to Stanford, you may contact the Palo Alto Post Office for information on general delivery options. 

NOTE: Specific room and roommate information is not available until the opening day of residences. All room and apartment assignments are tentative and subject to change due to last-minute cancellations, medical accommodations and other special considerations.

Moving In

Summer Lottery or Waitlist Assignments
Spring Quarter residents assigned to Summer housing in the Summer Lottery or Waitlist rounds have continuous on-campus housing from the end of Spring Quarter through the start of Summer Quarter.

Transition from Spring to Summer Residence

  • Stay in Residence: Students remain in their Spring Quarter residences until they can move in to their Summer assignment.
  • Contract Dates: The start date of their Summer Quarter contract and the end date of their Spring Quarter contract will reflect their move-in date.
  • View in Axess: Students may view their Summer contract start-date and Spring contract end-date in Axess by going to the "View All Room Assignments" tab in the Housing & Dining section of Axess.
  • Simultaneous Vacate/Move in: Some students may move in to a room/apartment that is simultaneously being vacated by another student, and, as such, may need to wait to move in until that person has returned their key and the room has been inspected and cleaned. (Please be considerate of other residents who are moving in on later dates.)
  • Alternate overnight accommodations: Other accommodations will be offered if your apartment is not available on your move date.

Chart for Summer Move-in
To determine your move date and time for your summer assignment, refer to the Summer Move-in chart. Please keep in mind that these dates are tentative and subject to change. Confirm your move-in date with your new Housing Front Desk before making any study, work, or travel plans.

Room/Apartment Keys
Your keys will be available at your Housing Front Desk (HFD) during check-in hours.

  • Students must pick up their keys at their Housing Front Desk office.
  • See the Summer Housing Directory for a complete list of office locations.
  • Photo ID is required (Stanford ID card, or government-issued driver’s license or passport)

Students arriving on Saturday, June 20
Check-ins will be available from 1 – 5 p.m. at the following locations:

Contact Your HFD
Be sure to contact your Housing Front Desk if you:

  • need to check in outside of business hours,
  • have any questions about picking up your keys, or
  • want to designate a friend/relative to pick up your keys for you.

Note: You will need to provide your Front Desk Coordinator with a signed proxy letter authorizing the release of your keys to this person. Your proxy will need to provide a photo ID to pick up your keys.

Check Axess before you Arrive

  1. Check Axess to verify that no holds (for unpaid bills, for example) have been placed on your account. You will not be able to check in if you have a hold or other enrollment problem. (Exception: International students may check into housing before removing a hold placed by the Bechtel International Center.)
  2. If you have a hold, contact the office that placed it to learn what you need to do to have the hold removed. For other enrollment problems, contact the Registrar’s office at (650) 723-2041 or registrar@stanford.edu.

Walk-ins/Continuous Assignments

Students assigned through the Summer Walk-In Meetings or Continuous Assignment do not have continuous on-campus housing.

Transition from Spring to Summer Residence

  • Students without continuous on-campus housing must move out of their Spring residence at the end of their contract and move in to their summer assignments on their contract start-date.
  • Contracts beginning on June 20, 2009 – students may move in to their Summer residence on
    • Saturday, June 20 from 1:00 p.m. to 5:00 p.m., or
    • Monday, June 22 from 8:00 a.m. to noon, or 1:00 to 5:00 p.m.

Check-in & Key Pick-up

  • Check-in and key pick-up is at your local Housing Front Desk. 
  • Check the Summer Housing Directory for a complete list of office locations.
  • If you arrive after office hours on one of those days, contact your Housing Front Desk/Residential Education office to make key pick-up arrangements.
  • Students with a start date after June 21 may check-in during normal business hours on their start date and should contact their Housing Front Desk/Residential Education office to make arrangements for key pick-up if they are arriving after hours.

Failure to Check in
If you do not check in at your residence office by Monday, June 22 by 5 p.m. (or on the first day of your contract period if your contract begins after June 20), your housing assignment will be cancelled and you will be charged a $200 administrative fee.

Late Arrivals
Your space can only be held for seven days. If you expect to arrive late, you must notify your Housing Front Desk office in writing (e-mail, fax or postal mail) of your planned arrival date, or your housing assignment will be cancelled and you will be charged a $200 administrative fee. (See Withdrawals below for more details.) Phone calls are only accepted from students who encounter travel delays on the way to Stanford.

Early Arrivals are not offered for Summer Term
Students may check the availability of rooms at the Stanford Guest House for dates outside of their contract, or check the Community Housing web site for a list of other local accommodations.

Withdrawals, Cancellations, and Reassignments

Withdrawals & Cancellations
If you no longer need housing, here are guidelines for cancelling your assignment:

  • There is no financial penalty for withdrawing your housing application before or by the application deadline.
  • Contact Housing Assignments in writing at housingassignments@lists.stanford.edu if you would like to withdraw your application.
  • A withdrawal fee of $50 - $200 will be assessed after the application deadline, depending on the date of cancellation.
  • Students who do not cancel their assignments and do not show up on the designated move-in date will have their assignment cancelled and will be charged a $200 no-show fee.

Cancellation fees
Assignment cancellation fees for Summer housing are independent of those charged for housing for the academic year.

  • If you have applied for academic year housing in addition to Summer housing and you refuse both, you are charged an administrative fee for each contract (a total of $100 - $600 if you cancel both assignments will be charged to your respective Summer and Autumn University bills).
  • Students assigned to a residence that was not listed on their Summer application because their Summer assignment was matched to their Autumn assignment will also be charged the applicable cancellation fee if cancelling.

Note: Be sure to notify Housing Assignments in writing if you wish to cancel your assignment(s) at housingassignments@lists.stanford.edu. Phone calls are not accepted.

No Cancellation after Occupancy
You are considered to have taken occupancy once you (or a designated representative on your behalf) pick up a key, regardless of whether you have physically moved in to your assigned room. Once you take occupancy of your space, you cannot cancel the assignment.

No Reassignments in Summer
Do not list any residence in which you do not wish to live for the Summer Quarter. There are no reassignments in summer except for students applying for a different category due to changes in marital or family status.

Contract Changes and Mid-Summer Moves
Contract Length Changes
Eligible
Students

You may request a change to your contract length (8-week or 10-week contract), if eligible, after the application deadline by submitting a Summer Change Request form.
All Summer Change Requests must be submitted by July 31, 2009.

  • An administrative fee of $25 is assessed for every contract change approved through the Summer Change Request form.
  • An extension of your contract will also affect your summer University bill, which will be due at Student Financial Services within 30 days of the approved change.
  • A contract extension may require you to move to another room or residence.
Ineligible
Students

If you were not eligible for the contract length you selected on your application, or you become ineligible during the Summer term, Housing Assignments will adjust your contract length. This will affect your summer University bill, which will be due within 30 days of the change.

Undergraduates
Single undergraduate students may also request to add Summer-Autumn Interim Housing to their contract by submitting a Summer Change Request form by July 31. The first change is free. A $25 administrative fee will be applied to every additional approved request. Note that only continuing Stanford students with an Autumn assignment are eligible for Summer-Autumn Interim Housing. Residence Changes

  • Summer Mirrielees residents will be required to move to a different residence if staying on campus past August 16, 2009.
  • Manzanita and Wilbur summer residents may also be asked to change rooms for the interim period if they change their contract length and/or add Summer-Autumn Interim housing to their contract.
  • Any requests to change your contract length made prior to the application deadline should be made in writing to Housing Assignments and will not result in a fee.

Extend Occupancy

  • Requests to extend occupancy before or after the Summer contract dates that you are eligible for can be submitted to your Housing Front Desk once you receive an assignment.
  • Extensions are generally very limited and, if granted, are charged at a slightly higher per diem rate. Students at the graduate level may also be eligible to stay in Conference Housing if they need additional housing before or after the contract period.
  • See the Stanford Conference Services web site, or call (650) 725-1429. All students may check the availability of rooms at the Stanford Guest House for dates outside of the contract as well.

Mid-Summer Moves
Single Graduate, Couples, and
Student with
Children Housing

Students with different Summer and Autumn assignments remain in their Summer residences until they can move in to their Autumn assignment. Single graduate students, couples without children and students with children move throughout the Summer Quarter.

  • Students are required to contact their respective HFD (Housing Front Desk) by July 20 to schedule their move date.
  • All moves generally occur between July 20 - September 1.
  • Contact your HFD prior to making any study, work, or travel plans as there is little flexibility in move dates for some residences.
  • Students should pick up their autumn keys at their Autumn HFD and drop off their summer keys at their Summer HFD two days later.
  • Do not join the Autumn Waitlist for reassignment if you would like to move in to your Autumn assignment at the earliest possible date.

Note: Your move date may affect your contract end-date and/or summer rent.
