If you have applied for housing in the autumn Lottery or the subsequent waiting list rounds, you can find your housing assignment on Axess on the day the results are announced. If you are assigned in the continuous or the walk-in assignment rounds, you will receive an email with the results as soon as you have been assigned.

If You Were Assigned In The Lottery

If you are happy with your assignment, you do not need to do anything to keep your housing. You signed your Residence Agreement when you applied for housing. You may view a copy of the agreement at http://www.stanford.edu/dept/rde/shs/res_agree.htm.

Move-in Date
The general opening day of residences is August 24 for law students, Monday, September 9 for Schwab contracts and Saturday, September 12, 2009 for all other students. The move-in date that you selected on your housing application is listed in Axess. You will be charged rent starting on your selected arrival date, even if you arrive late. If you expect to arrive later than your indicated move-in date, you must notify your Housing Front Desk in writing of your planned date of arrival or your housing assignment will be cancelled and you will be charged a $400 administrative fee.

All rent that starts before the general opening days will show up as a separate line item on your Autumn University Bill. If you are assigned to an on-campus residence and would like to change your move-in date among those listed on the application, requests should be submitted by email to your Housing Front Desk.

Students who will live on-campus during Summer Quarter and are changing residences for the autumn term will move to their autumn assignments in July or August. You will need to check with your Housing Front Desk to confirm your move date. Your summer contract will be extended automatically to meet the start of this autumn assignment. If you are not changing residences (or type of apartment) between summer and autumn, your Front Desk will make every effort to keep you in the same room/apartment for both contract periods.

Contract Length
There are two different contract lengths in Graduate Housing. Please view your assignment in Axess to determine your contract length.
Academic-year contracts extend through the end of Spring Quarter 2010 as long as you remain an enrolled student. If you move out before the end of the spring quarter and remain enrolled, you will continue to be charged rent until the end of spring quarter. Your contract does not include Summer Quarter 2010. If you wish to stay in continuous occupancy in University housing throughout the Summer Quarter, you must apply separately for a different summer residence next spring.

Full-year contracts extend through the end of the Summer Quarter 2010 as long as you remain an enrolled student. You may voluntarily terminate occupancy at the end of Spring Quarter by completing a termination of occupancy form (http://onlinetoc.stanford.edu). If you fail to give notice by the applicable deadline noted in the Residence Agreement, you will be charged a $100-$400 late termination of occupancy fee. You are obligated to pay rent through the end of Spring Quarter 2010 as long as you remain an enrolled student. If you move out before the end of the spring quarter and remain enrolled, you will continue to be charged rent until the end of spring quarter.

Change in status
If a change in your marital or family status necessitates assignment to a different type of housing for autumn term, you must cancel this assignment and then join the Waiting List for the appropriate type of housing by July 5, 2009. However, if you or your spouse/partner becomes pregnant after receiving a May Lottery assignment to Single Student or Couple without Children Housing, you may apply for Student with Children Housing starting autumn term (if it coincides with your second or third trimester of pregnancy) before cancelling this Lottery assignment. If you are assigned to Student with Children Housing, your Lottery assignment will be cancelled and the corresponding administrative fees will be assessed.

Enrollment
You must be an enrolled student to live in University housing. If you are not enrolled or if your enrollment is on hold by the date that your assignment begins, you will not be permitted to check into your assigned residence. If you terminate your registration at any time after having moved into University housing, you must vacate your residence immediately.

Specific Room/Apartment Assignment
You have not yet been assigned to a specific room or apartment. Specific room/apartment assignments and roommate assignments for autumn quarter are made shortly before classes begin by local Housing Front Desk personnel (not Housing Assignments), after students have been assigned to a specific type of housing. Special consideration for assignment to renovated or larger apartments is not offered. If you have a disability or documented medical condition that should be considered when making your room/apartment assignment, contact the Student Disability Resource Center (650) 723-1066 to make your needs known. Please do not send medical information to Housing Assignments or to your Housing Front Desk. If you require further information regarding your specific room or apartment, please contact your Housing Front Desk. Roommate information is not available until you check-in.

"Energy Star" Rated Appliances
If you are newly assigned to the EV low-rise apartments, Buildings 1-144, you should know that laundry hook-ups in the EV low-rises are locked upon student move-out. All incoming residents assigned to an EV low-rise, please contact your Housing Supervisor to verify you have the required "Energy Star" rated washing machine prior to any equipment installation. Residents who were already living in EV low-rise apartments prior to Fall 2004-05 are not required to change out laundry machines, however, we encourage you to select "Energy Star" rated appliances.

Housing Charges
Fees for room rent, telecommunications fees, and Stanford Dining meal plans are charged on your University Bill prepared by Student Financial Services. All quarterly charges are due the 15th of the month prior to the start of the quarter unless otherwise specified. All other charges are billed monthly. Monthly bills are generated on the 20th of each month and due on the 15th of the following month. House dues may be charged on the University bill or directly by the individual house. Mailing Personal Belongings
You should plan for your personal belongings to arrive after you have arrived on campus. There are no storage arrangements available for accepting and holding mail or packages arriving prior to a student's arrival. Residence offices also do not accept deliveries for students. If you must ship your belongings early, ship them with a carrier, like UPS, who will not deliver your packages until you have phoned them with delivery information. You will need to make these arrangements directly with the carrier service.

Construction and Capital Improvement Program
The University is working to renovate and improve some of the existing residences, including substantial renovations, seismic strengthening, asbestos abatement, and lead paint management. During this period, some students may be required to move to different rooms or temporarily vacate their current rooms while work is underway. We will, however, make every effort to perform work when apartments vacate or in unobtrusive ways while students are in residence. If temporary moves are necessary, we will make every effort to minimize the impact this temporary relocation may have on student life. Students who need to move because their apartment is scheduled to be renovated or demolished will remain under contract and will not be released from contract unless they are otherwise eligible for release. Renovations, new construction, other major University construction projects or unforeseen repair projects will necessarily cause increased noise, dust and traffic impact around directly involved and nearby residences, as well as throughout other housing areas.

Prior to and up to a year after a major construction project, continual work may occur in and around your residence. When you signed your residence agreement, you acknowledged that you have been advised of these projects, and you accepted your housing assignment accordingly. Slab heat replacement and seismic retrofitting work will be performed on some Escondido low-rise apartment buildings.  Unforeseen circumstances could, in addition, necessitate additional construction work at other residences. While all possible measures will be taken to minimize the impact of all of these housing projects, anyone moving into these areas should be prepared to accept the unavoidable aspects of life in a neighborhood under construction.

Public School Information
If you have school-aged children, you can find out when and where your child should be enrolled by contacting the Palo Alto Unified School District Office at (650) 329-3707. You will need a birth certificate, your child's immunization record, the full name and address of your child's previous school (U.S. only), and an address verification form (available at the Escondido Village Housing Front Desk after you have accepted your housing assignment) in order to register your child. As enrollment may be limited, it is recommended that you contact the school district as soon as possible.
If You Weren't Assigned In The Lottery

If you joined the Lottery but were not assigned to a residence, your lottery number was too high for the residences you listed on your housing application. If you’d like to be considered for the next assignment round, join the Waiting List and submit a new list of residence preferences and final choice. You will retain your original lottery number for use in the Waiting List.

Over the next few months we will receive a large number of cancellations from students who decide not to live on campus next year. We will offer those spaces through an assignment round in July and a series of assignment meetings in August and September.

While we cannot accurately predict housing availability this year, last year all new single students who were willing to live in any graduate residence were assigned by mid-September, and most continuing students by the end of the Walk-in period. If you have limited housing choices, you have less chance of being assigned. New graduate students are given a priority for University housing in the Waiting List and throughout the academic year.

If You Didn't Get Your Preferred Choice

If you entered the Lottery for Autumn Quarter housing and did not receive an assignment to a residence high on your list of preferences, you have the option of accepting your assignment and also joining the Waiting List for reassignment. If you are not reassigned in the Waiting List, you will keep your original assignment per the terms of the Residence Agreement. You will only be considered for reassignment to the residences you specifically list in your response. If you are reassigned, your original assignment is simultaneously given to another student on the Waiting List.

Mid-year reassignments for single students
Single students also have an additional opportunity for reassignment within Single Student Housing mid-year. Once demand for Single Student Housing has been met, residents may request reassignment to any other vacant room. Housing Assignments will post a notice on our web site when reassignments will begin. Typically this will be around the third week of each quarter (except summer). There is a $200 fee for these reassignments.
If You Weren't Assigned In The Waiting List

If you joined the Waiting List but were not assigned to a residence, your lottery number was too high for the residences you listed on your housing application. If you’d like to be considered for the next assignment round, participate in the Walk-In assignment process for single students or the Continuous Assignment process for couples without children or students with children. If you are a single student you must submit a proxy form or attend the assignment meetings in person. You will retain your position on the waiting list for the Walk-In assignment meetings. Couples without children and students with children are automatically added to the continuous assignment list.  See Graduate Housing Calendar for dates and locations.
