Subletting Policy


Following are highlighted changes that have been made this year to the graduate housing configuration and policies. Visit our web site regularly for information on any future housing programs or changes.

Renewal Options for Continuing Graduate Students. Most graduate students who currently live in residences that are open all year are able to renew their housing contracts for 2007-08 in a “one-step renewal process” in Axess during the Graduate Housing Lottery in April. This assumes that the student is going to stay in the same apartment or room from the time of the Lottery through the next contract year, including summer 2007.  As part of this process, students must commit to pay full summer rent regardless of whether or not they will be present on campus.

Students who qualify for this Renewal Option include those who:

  • Live on campus in a full-year graduate location during Spring Quarter/Semester (see below for academic-year buildings that do not qualify);
  • Have at least one remaining assignment priority year;
  • Remain in the same category of housing for the 2007-08 year (e.g., Single Graduate, Couple without Children, or Student with Children Housing);
  • Stay in their spring assignment for summer 2007 through the upcoming 2007-08 year;  
  • Are in good academic and financial standing with the University; and
  • Renew by the Graduate Housing Lottery deadline on May 6, 2007.

    Note: Residents who will be away from campus for one vacation quarter during the year may sublet their rooms or apartments to a qualified Stanford affiliates. They must sign a sublease agreement at their Housing Front Desk.

    Note: Students will still be eligible to terminate their contracts at the end of any term if they graduate or are no longer enrolled.

Students who do not qualify for this Renewal Option include those who:

  • Live in academic-year buildings during Spring Quarter/Semester that are not available for the summer;
  • Do not remain in contract during the Summer Quarter prior to when their autumn housing contract begins;
  • Wish to change their residence or change family or marital status for autumn (renewal eligibility is based on students staying in their spring residence for the summer and through the next academic year);
  • Have not finalized their summer plans and who may need to cancel their summer contract; or,
  • Have exceeded the number of housing assignment priority years allocated for their current degree program.

How to exercise this Renewal Option:

Continuing graduate students who meet these criteria will renew their assignments and sign their Residence Agreements online in Axess during the Graduate Lottery in April. Dates and information about renewing in Axess are listed below. Students will find the Renewal Option in the “Submit Application” section online in the Axess R&DE Application.  All deadlines must be met to qualify for this option.

Students are not eligible for the Renewal Option if they live in an academic-year residence.   Academic-year residences for 2007-08 include:

  • Crothers Hall;
  • Rains buildings 201, 202 and 206;
  • Escondido Village Studio buildings 1 and 2;
  • Schwab Residential Center; and,
  • Undergraduate Co-ops

Important Renewal Dates:

  • April 18, 2007 – Axess begins accepting renewals for 2007-08
  • May 6, 2007 – Deadline to renew and sign the 2007-08 Residence Agreement in Axess

New Billing System.  For 2007-08, Student Housing is transitioning to a new billing system for single graduate students and couples without children.  It is based on the system that has been in place for students with children for many years.  Under the new system, students will be billed rent at a constant per diem rate for the full University calendar year (September 1-August 31).  There will no longer be interim periods, and premium rates for early arrival and late departure will be eliminated.  Quarterly and semestral rates will be quoted in full monthly increments, but students will still be billed based on their specific contract dates.  The new system greatly simplifies billing procedures and amounts printed on billing statements, is much easier to understand, permits quoting simple monthly rates that will enable students to more directly compare on-campus and off-campus rates, and will reduce costs for students moving into or out of housing beyond official contract periods. During this first transition year, some students may see a slight decrease or increase in their pro-rated rent compared to the old system, depending on their exact contract dates.  There will be no impact on rent for students who are in continuous occupancy throughout the 2007-08 University calendar year. New Move-In and Move-Out Dates.  Beginning in 2007-08, more flexible move-in and move-out dates will be available to graduate students before the start of autumn term and after the end of spring term, respectively.  Depending on students’ assigned residence and academic program, move-in dates for autumn term will be offered from mid-June to mid-September.  Move-out dates for spring term will be offered from mid-May to early August.

Subletting Policy. All residents in Graduate Housing may sublet their rooms/apartments during the summer term to persons formally affiliated with Stanford University for that summer. Some graduate students may be able to sublet during the academic year. Residents may apply for one vacation quarter each academic year during which they may remain in housing unenrolled.  Residents who will be away from campus during their vacation quarter or enrolled in absentia for one quarter may sublet their rooms or apartments by finding qualified Stanford affiliates to sign sublease agreements. Stanford undergraduate students are not eligible to sublet apartments in Graduate Housing. Students are not permitted to charge more for their apartment than the rental rate they pay and must file a sublease agreement at their Housing Front Desk. Single students who live in shared occupancy apartments must have their roommate sign the subletting agreement to acknowledge that they have been informed of the sublet.
