Notice to Students Terminating Occupancy in University-Assigned, Off-Campus Housing

Read this page carefully before completing the termination of occupancy form.

By completing the termination of occupancy form below, you are terminating your occupancy in Stanford University housing. This notice is to inform you that you are subject to the terms and conditions of your Stanford University Off-Campus Residence Agreement, particularly your responsibility to pay room rent.

We recommend that you read the suggested cleaning guidelines that we have compiled. We also recommend that you request a move-out walk-through with your on-site apartment manager. If they agree to do this (they are not required to do so), you should schedule it for the point that you will have your belongings out of the apartment, you have done the cleaning that you think needs to be done, but still have time to do additional cleaning. After you vacate your apartment, the complex will inspect your room/bathroom/apartment for cleaning and damages. If they determine that work needs to be done, you will be billed for the labor and any materials used. It must be as clean as when you moved in.

*If you do not remain in residence the entire quarter/semester for which you have reserved a housing space, you are charged a $400 administrative fee. If you move out of your residence at any time before the end of the term of your agreement, and you remain enrolled, you are responsible for your room rent obligation.

Off-Campus Apartments Termination Policy

The Residence Agreement, in accordance with Stanford University housing policy, states that taking occupancy of a room under this agreement obligates you to pay the room charge for the entire term of your contract. You may only be released from your obligation to pay your room charge if you:

1. cease enrollment (graduate, stop out, take leave, or withdraw from the University) or
2. transfer into on-campus housing due to a marital/family status change.

Release from your obligation to pay rent for any other reason is granted only upon successful petition to Community Housing. You cannot assume that you have been released from contract unless you receive written confirmation from Community Housing.

If you plan to cease enrollment and are filing a termination of occupancy form, Community Housing verifies your change of enrollment status. Once you are no longer enrollment, you are released from your obligation to pay rent as of the date that you move out of University-assigned housing. If you complete requirements for graduation before the end of an academic term, you are liable for your room charge for the duration of that term. If you cease your enrollment in order to be released from contract and later enroll for the same academic term, your housing charges will be reinstated.

If you move out of University-assigned housing during the academic year and continue to be an enrolled student (except students whose petitions for release from contract have been approved by Community Housing), you remain liable for room rent through the remainder of the term of your contract or until your apartment space has been occupied by another eligible student assigned by Community Housing (whichever date is earlier). If your space is not assigned to another student, you are able to move back into it as you are liable for rent any quarter/semester of an academic year during which you are enrollment.

If a change in your marital or family status necessitates assignment to a different type of housing, you must immediately request at Housing Assignments and Community Housing to be reassigned. If the University is able to reassign you, you must accept the reassignment as you are still under contract. If a vacancy does not occur in the type of housing appropriate to your new status within a reasonable period of time, you may then petition Community Housing to be considered for release from your housing contract at the end of the current academic term. If your petition is approved, you are released from your obligation to pay room rent as of the date determined by Community Housing once you have vacated your housing space, and you will be charged a $400 administrative fee.

We recommend that you print a copy of this notice for your records before you complete the termination of occupancy form.
