Updating or Withdrawing an Application

Changing an Application

After submitting a housing application, students can make changes to their selections on Axess until the appropriate application deadline. Updating application preferences does not change a student's position on the list.

To make changes to an application:

  • Log in to https://axess.stanford.edu before the deadlines listed below.
  • Select Housing and Dining from the Student menu.
  • Select Edit and update the appropriate application.

Withdrawing an Application

Students can withdraw housing applications on Axess without a fee by the application deadline for each round. Withdrawing or cancelling after the deadline will result in a $100 - $550 fee, depending on the date cancelled.

Once a student withdraws an application, he or she may reapply for housing, but doing so after the application deadline will cause him or her to receive a new Lottery number and position on the list of students waiting.

To withdraw an application:

  • Log in to Axess https://axess.stanford.edu before the deadlines listed below,
  • Select Housing and Dining from the Student menu,
  • Select Withdraw, and then follow the prompts to withdraw the appropriate application.

Changes in Student Status

If, after a student has submitted an application, his or her student status changes (e.g., from single student to couple) he or she must apply for housing appropriate to his or her new status. If the change in student status corresponds with Winter or Spring Quarter, the student may apply for that future term on Axess and keep his or her current application or assignment.

If a student's status changes before he or she is assigned: The student should withdraw the original application and reapply by the deadline for housing that is appropriate to the new status.

If a student's status changes after he or she is assigned, but before the contract begins: The student should cancel the original assignment (the student will be assessed applicable assignment cancellation fees) and join the Waiting List by the appropriate deadline for housing suitable to the new status.

If a student or the student's spouse/partner becomes pregnant after being assigned to housing for single students or couples without children: Before cancelling the Lottery assignment, the student may apply for housing for students with children for Autumn Quarter if the academic term coincides with the second or third trimester of pregnancy. The student should contact Housing Assignments in writing to request a student with children application for autumn. If the second or third trimester corresponds with Winter or Spring Quarter, the student may apply for that future term on Axess.

If the student is assigned to housing for students with children, the original Lottery assignment will be cancelled and corresponding administrative fees assessed. All transfers are made on the basis of availability, Waiting List application number, and pregnancy due date. Students already living on campus have priority over off-campus applicants without a housing guarantee, but assignments aren’t guaranteed.

If a student or the student's spouse/partner becomes pregnant after being assigned to housing for students with children and the student wants to apply for a larger apartment: The student should contact Housing Assignments in writing to request a student with children application for the quarter that coincides with the second or third trimester as he or she will not be able to apply in Axess.

If a student's status changes while living in housing

The student should file an application for assignment for the current or next assignment round. If the student is certain of their plans, (i.e., engaged to be married or pregnant) he or she may submit an application for a different category of housing for a future quarter. If we are able to assign the student to the new category of housing within a reasonable period of time, the student must accept the assignment. When a student is assigned to a different category of housing, his or her original room or apartment is simultaneously assigned to another student. If a student is assigned to a new category of housing mid-year, he or she must be able to move into the new quarters when the apartment becomes available.
