Legal Requirements

As a summer conference program, it is your responsibility to stay apprised of, and to abide by, all current state and federal laws, as well as applicable University policies (e.g., smoke-free environment). While compliance with all laws is important, the University would like to draw your attention to two laws that address safety related issues for participants in summer conference programs as follows:

• Jeanne Clery Disclosure of Campus Security Policy and Crime Statistics Act. This1998 law requires all college campuses to report statistical crime data. To comply with this federal law, the Stanford Department of Public Safety annually publishes and distributes information concerning campus crime statistics for nine specific crimes and, in addition, for alcohol, illegal drugs, and weapons violations. Summer conference programs are required to immediately report these offenses directly to the Executive Director of Stanford Conferences, or via another Stanford Conferences team member, for inclusion in the institution’s annual security report, and to ensure an appropriate University response. • Penal Code Section 11105.3 (Background Checks). The policy underlying Penal Code Section 11105.3 is to ensure the safety of youth and children who participate in after-school and summer programs. The University now offers “Live Scan” background checks for staff of youth programs. All programs involving youth participants require their supervising staff to conduct background checks. Please review the “Live Scan” Memorandum enclosed in the Conference Planning Manual.
