Initiating a Project

The Process

The Portfolio Management Team (PMT) collects and reviews the IT Services portfolio of projects and Charter submissions once a year. The process involves weighting the projects against the IT Services annual initiatives, approval and budget allocation for the following fiscal year. If a charter is approved, the request becomes a Project and resources are allocated accordingly. This includes budget and a PMO Project Manager, among other things.

The PMT meets to review the total project Charter submissions during this approval request period, and monthly thereafter, and will resond via email.

The annual project approval request period will be announced in late Spring.

Request a Project Manager - for off-cycle Submissions

Occasionally the need to initiate a project occurs outside of the official project submission and approval cycle. Submitting a project Charter outside of the spring collection and planning time, the submission is considered off-cycle. The first step in initiating an off-cycle project Charter is to download and complete the Charter Submission Form. Once complete, the form should be sent to the Project Management Office Requests mail account. The document will then be reviewed by the IT Services PMT, and a Project Manager will be assigned if approved.

Submitting a Charter

  1. Determine whether you need a Charter—review the criteria on the Embedded Projects page
  2. Review Standard Rates to use when creating a project budget
  3. Complete the Charter Template and Email it to the PMO
  4. The request will be reviewed by the Portfolio Management Team (PMT)
  5. You will be contacted via email with request status

Changing an approved Charter

  1. Once a project is approved, changes to Scope, Staff, Timeline or Budget require approval by the PMT
  2. To request a change, complete the Charter Change Request Template and Email it to the PMO
  3. The request will be reviewed by the Portfolio Management Team (PMT)
  4. You will be contacted via email with request status
