Other Campus Support Provider Plans for Winter Closure 2008/09

Administrative Systems

Administrative Systems will be closed from end of day Friday, December 19, 2008 through Friday, January 2, 2009. We will resume normal business operations effective Monday, January 5, 2009 at 8 a.m.

All production applications will continue to be available during this period. These includes:

  • Axess
  • PeopleSoft (Student Administration, HR, STARS)
  • Kronos
  • All Oracle applications (iProcurement, iOU, PCard, iJournals, etc.)
  • ReportMart1 and ReportMart3 \
  • Informatica Powercenter
  • Registry web applications, middleware and integration services
    (StanfordYou, Sunetid, Authority Manager, etc. - see mais.stanford.edu)

Staff will monitor applications to ensure they remain running, but no upgrades, enhancements, or non-emergency changes will be made. Help Desk assistance will be available on a limited basis for urgent issues only. Users requiring assistance during this period should submit a HelpSU ticket (note that response times for help tickets may be longer than normal).

Disbursements

Disbursements will be closed in accordance with the University 2008 winter close schedule beginning December 22, 2008 through January 2, 2009. Please plan to submit any iOU or iProcurement transactions you wish to have processed before winter close by 5:00 p.m. on Friday, December 5th. For transactions received after that date, every effort will be made to process transactions prior to our closing on December 19th, but cannot be guaranteed. Financial Aid and Undergraduate Admissions

The Central Financial Aid Office will be closed through January 2, 2008. Undergraduate Admission will be closed to the public through January 2, 2008. However, staff will be reading applications and/or processing incoming documents throughout the holiday period.

Graduate Admissions

To applicants who have submitted graduate applications: your department's admission committee will be reviewing your application and making the admission decision. Department contact will not be available during Winter Closure. For application status questions after Winter Closure, students should first explore the department's web site for any information concerning their policy on contacting them with status questions. See this page for links to web sites for the departments/programs.

Departments are asked not to re-direct their admissions mail to Graduate Admissions over the break.

Graduate School of Business

For GSB staff that have to work during the break, the GSB Desktop Support Technician will monitor the Help Desk ticket queue Monday through Friday between the hours of 8 a.m. and 5 p.m. During this time they will respond to requests that can be handled remotely or, if necessary, onsite. For staff that have urgent issues, and would like to page the technician, they should call the GSB Help Desk at (650) 723–4778 and leave an urgent message with details of the problem. The Technician assigned for the week will call them back within 30 minutes. As always, the GSB IT Help Desk will be available for emergency server or wide-area network outages during the Winter Closure.

Purchasing and Contracts

In accordance with the University 2008 Winter Closure Schedule, the Procurement & Contracts Office will be officially closed at end of business day on Friday, December 19, 2008 through Friday, January 2, 2009. We will return on Monday, January 5, 2009.

If you are creating requisitions, please keep in mind the closure dates.

Purchasing will make every effort to place all Requisitions which have been approved and received with necessary attachments by Wednesday, December 10 prior to the Winter Closure date of December 19th.

Rapid Purchase Orders (RPO)

When calling or faxing in your RPO, please give special instructions to the supplier regarding the closure and when you will be available to accept the delivery. Your building must be open and accessible to the shipper, and someone must be in your office/lab to receive the delivery.

Campus Wide Agreement (CWA) Orders

Orders approved by December 16th will most likely be delivered by December 19th. However, keep in mind that some deliveries may take longer. Place orders early to allow extra time. For CWA orders from En Pointe Technologies, orders approved on or after December 15 will be held and processed for delivery on January 5th, 2009. This is to allow for the usual UPS/ FedEx Ground delivery time.

Standard Purchase Orders (STD)

For a Standard requisition that will be assigned to a buyer, please make sure that the need-by date is a realistic delivery date and that you will be able to sign for and accept. Some orders may need to be delayed for shipment to avoid receiving between December 22 and January 2. Unless you specifically state on your Requisition that you will be available to receive the delivery between December 22 and January 2, 2009, Purchasing will assume that you are not available and will schedule delivery accordingly.

Special Shipping Instructions for Suppliers

Purchasing is communicating the following shipping instructions to suppliers:

Stanford University will be closed for Winter Break from Monday December 22nd, 2008 through Friday, January 2nd, 2009. The University will reopen on Monday, January 5th, 2009. No staff will be here to receive deliveries during this closure unless they have made special arrangements with you to be here to receive this shipment. If you cannot deliver by Friday December 19th, please schedule your shipment to arrive as soon as possible on or after Monday, January 5th, 2009.

Registrar's Office

The Registrar’s Office will be closed for the holidays beginning at the close of business on December 19, 2008 and re-opening for business on January 5, 2009. Official transcript requests submitted via Axess after December 18, 2008 will be mailed in an automated batch process on December 30, 2008. Official transcript requests received in Axess on December 30, 2008 or later will be processed when business resumes on January 5, 2009.

Student Services Center

HOLIDAY HOURS: Student Services Center, Student Financial Services and University Cashier's Office will observe the following Thanksgiving and Winter Holiday hours:

  • CLOSED: Thanksgiving: 11/27/08 and 11/28/08
  • CLOSED: Winter Closure: Saturday 12/20/08 through Sunday 1/4/09. Offices will resume normal hours on Monday 1/5/09.

During Winter Closure, our telephone representatives will be available to take your call at 866-993-7772 (toll free) or 650-723-7772 on:

  • Monday, December 22
  • Tuesday, December 23
  • Wednesday, December 24 (until noon),
  • Monday, December 29

Stanford University Libraries and Academic Information Resources (SUL/AIR)

Winter Closure Hours 2008–2009: Monday, December 22, 2008 through Friday, January 2, 2009

Stanford University Libraries and Academic Information Resources (SULAIR) will have a reduced schedule of operations from Monday, December 22, 2008 through Friday, January 2, 2009.

Winter Intersession Hours are from December 13–21, 2008 and January 3–5, 2009 and differ from the Winter Closure schedule. SULAIR will also have a reduced schedule of operations during the intersession.
