Eligibility

If your group was split in the Undergraduate Draw, Graduate Lottery or Summer Allocation, any or all members of your group may petition by Friday, May 30, 2008 to be reunited in the same residence if they meet the criteria listed below.

If you were not assigned in the Draw or Lottery, and your group was subsequently split on the Autumn Quarter Waiting List, you must file a petition to be reunited with your group members by Friday, August 8, 2008.

All petitioning members of the group must:

  • have the same application number,
  • be of the same sex,
  • have the same priorities (if applicable) for the residences among which they were split,
  • have listed the same residence choices in the same order on their housing applications,
  • have the same guarantee status (if undergraduates) or be in the assignable pool (for graduates),
  • have the same preferred year status (if undergraduates),
  • have listed the same group retention choice (if undergraduates).

You may not add any new members to your group.

We do not accept split group petitions after the Winter, Spring and Summer Quarter Waiting lists.

Where You May be Reassigned

You may only petition to be reunited in the residences in which you were split, or if space does not become available in those residences, you may request to be reunited in any residence that had a cut-off number and priority level that was worse than your application number and priority level. (See Draw and Lottery statistics.)

If you desire, you may petition simply to exchange spaces within your group instead of or in addition to requesting to reunite all petitioning members in one residence. For example, in a group of four, if group members Mary and Nkomo are assigned to Burbank and Ellen and Tamara are assigned to Serra, you may request to move Tamara to Burbank and Nkomo to Serra, just exchanging their spaces.

On the petition form, explain and rank as many scenarios or combinations acceptable to your group. For example, your first choice may be to have Mary and Nkomo moved to Serra to join Ellen and Tamara. Your second choice may be to move Ellen and Tamara to Burbank. If those are not possible, you want to have Tamara and Nkomo switch places.
 

Undergraduate Sub-Groups. There may be a "sub-group" within your group, for example Amy and Sue request to be kept together through 4th choice. Marcy and Jessica request to be kept together through 6th choice.

If the above mentioned conditions are met and the group is split, Amy and Sue may file their own petition while Marcy and Jessica will file their separate petition.

Remember if you are a mixed gender group, the men and women must petition separately.
 

How Reassignments are Made

In order to reunite your group, the appropriate residence spaces must become available either through cancellations or through reassignments out of the residence. While Housing Assignments cannot guarantee that you will be reunited, most groups are reunited by the start of autumn term. The larger the group or the more popular the residence, the more difficult it may be to reunite group members.

During the summer, Housing Assignments will first try to reunite your group based on your petition if vacancies become available in the residence to which you are seeking reassignment. If that is not possible, we will then make the Waiting List assignments and try to reassign those students who joined the Waiting List. Spaces often become available on the Waiting List because some students may be seeking reassignment out of the residence to which you want to be reassigned. If you are not reassigned on the Waiting List, we will continue to try to reassign you later in the summer as additional vacancies become available from students canceling their housing assignments.
 

Specific Room Assignments

Housing Assignments will notify your local residence office(s) prior to the start of Autumn Quarter if your split group has been reunited. If your housing assignment has changed, the Residence Student Affairs Specialists or residence staff will attempt to assign you to the same room as other members of your group, if possible.
 

Steps to Follow

If Your Group Was Split in the Undergraduate Draw, Graduate Lottery and Summer Allocation. If you meet the eligibility criteria listed above, please follow these instructions:

1. Respond to your assignment using the "view/respond to a housing assignment" function in Axess:

  • Group members who want to remain in their Draw/Lottery assignment do not need to enter any changes in Axess..
  • Group members who want to be reassigned from their Draw/Lottery assignment to the residence where the other members of the group are assigned should join the Autumn Waiting List for reassignment, listing that residence as their only waiting list choice.

Note: Not all group members should join the Waiting List as they may simply swap assignments and not be reunited. Only the group members who want to be reassigned to the residence where the other members of the group are assigned should join the Waiting List. Group members who want to be reassigned only in pairs or not be moved at all should not join the Waiting List, as it is possible to be split from the pair in the Waiting List.

2. Print and complete the split group petition form, explaining where and how you want the group to be reunited. On your petition form, designate one member of the group to serve as a summer contact person. Return the petition to Housing Assignments, 630 Serra Street, Suite 110, by Friday, May 30, 2008. Any member of the group who may be moved must sign the petition.

3. Undergraduates only: Go to the in-house draw for the residence you were assigned to in the Draw and select your room for next year, even if you are trying to be reassigned from that residence. The group members who are already assigned to the residence in which the group would like to be reunited should alert the residence staff that they are part of a split group that is trying to be reunited.

4. Before the end of Spring Quarter, update your mailing address on Axess. We will contact you at this address as soon as we have been able to reunite your group. You should expect to hear from us in late July. If we are unable to reunite your group, we will notify you of your remaining options in early September.
 

If Your Group Was Not Assigned in the Draw or Lottery, but Was Subsequently Split on the Autumn Quarter Waiting List. If you meet the eligibility criteria listed above, please follow these instructions:

Print and complete the split group petition form, explaining where and how you want the group to be reunited. On your petition form, designate one member of the group to serve as a summer contact person. Return the petition to Housing Assignments, 630 Serra Street, Suite 110, by Friday, August 8, 2008. Frequently Asked Questions

Graduate Students:

What happens if my group is assigned to different residences?
If your group was split in the May Lottery round, you may submit a written request to be reunited at Housing Assignments by Friday, May 30, 2008. Special attempts will be made over the summer to assign all group members to the same house provided all members are of the same sex, have the same residence priorities (including your returning resident priority), listed the same choices in the same order and submit the petition by the deadline. In other words, a group must have done everything possible to be kept together to be eligible to file a split group petition.

What if our group gets split after the Autumn Waiting List?
You have until August 8 to file a split group petition to be reunited (if you were not offered assignment in the Lottery). During the Waiting List round there is little likelihood that group members can be placed together, and we cannot guarantee that your group can be reunited. We do not accept petitions if you your group was split because you joined the waiting list for reassignment.

What happens if my group was split within an "any" choice i.e. Any Escondido Village?
Your group may be split between the residence options that make up Any Escondido Village, Any Rains, or Any Co-op. For example some members of your group may get into 2 bedroom apartments and others into the 3 bedrooms within the Any EV choice. The assignment program considers an "any" choice as one residence including the final choice: "Assign me to Any Residence for which I am eligible" but those choices represent several options. Graduate students may petition to be reunited if you are split between residence options in this case. (Note that undergraduates are not eligible to petition if split due to an "any" choice assignment.)

I applied with a group of friends who currently live in different residences and we used our returning resident priorities. Now we are split between residences. Can we petition?
You may apply with a group and still choose to use your returning resident priorities, however you will most likely be assigned to different residences. If being assigned with your group to the same residence is more important than staying in your Spring Quarter residence, you should not use the returning resident priority. If you have been split between residences due to unequal residence priorities, you may not petition to be reunited. One (or as many as split from you) should join the Autumn Waiting List for reassignment to try to be assigned to your residence.

What should we do if we did not list the same residence choices, had different priorities, or are different genders?
One (or as many as split from you) should join the Autumn Waiting List for reassignment and list your residence as the first choice. This is your only option to try to be reunited.

Undergraduate Students: 

Why is there a deadline to form groups?
The deadline to form a group was established so that your decision to draw as a group would be based on your desire to live with your friends and would not be driven by an application number (good or bad!). 

What happens if some group members want to be kept together through more choices than others? 
The assignment program will try to keep group members together as long as indicated on the application.  Example:  Jill, Jane and Karen are a group.  Jill and Jane want to be kept together through their first four choices, Karen wants to be kept together only through her first two.  The assignment program will try to put Jill, Jane and Karen together for their first two choices.  If that is not possible, it will then try to keep Jill and Jane together through their first four choices. 

What happens if some group members change their "group retention" choice? 
The assignment program will attempt to keep group members together through the Nth choice they have designated the same. 

Will the group retention feature prevent my group from getting split? 
The group retention feature is designed to reduce the chances that your group will be split.  However, it will not prevent all groups from being split. Groups will still get split (particularly at the cutoffs for residences). 

What happens if my group lists an "any" choice i.e. Any Flo Mo? 
Your group may be split between the residences that make up Any Flo Mo.  For example some members of your group may get into Loro and others into Mirlo. The assignment program considers an "any" choice one residence for the purposes of keeping groups together including final choice: "Assign me to Any Residence for which I am eligible." Undergraduates may petition to be reunited if you are split between residences due to an "any" choice.

What happens if my group gets assigned to different residences? 
If your group was split in the May Draw round, you may submit a written request to be reunited at Housing Assignments by Friday, June 1, 2007. Special attempts will be made over the summer to assign all group members to the same house provided all members are of the same sex, have the same priorities, list the same choices in the same order and petition by the deadline. In other words, a group must have done everything possible to be kept together to be eligible to file a split group petition.(See Drawing in a Group.) 

What if our group gets split after the Autumn Quarter Waiting List?  
You have until August 8, 2008 to file a split group petition to be reunited (if you were not offered assignment in the Draw). During Waiting List rounds, however, since there is very little likelihood that group members can be placed together, there are no guarantees that groups can be reunited. 

If a member of my group drops out after the May 4 deadline-can our group find a replacement?  
With the exception of groups drawing for the Suites, no group member substitutions can be made. Groups drawing for the Suites may petition at Housing Assignments only in cases where a member of the group has withdrawn from the group to accept a staff position.  This year, residence staff appointments will be announced before the deadline to join a group. (See Group Priorities for the Suites and Special Priorities.)
