Housing Assignments runs three assignment rounds for Summer Housing - the Summer Allocation, the Summer Waiting List and the Walk-in/Continuous Assignments meetings. Students are encouraged to apply in the earliest assignment round available to them in order to increase their chances of receiving their preferred housing, unless they are interested in a late summer start date. All students who apply by the Summer Allocation deadline and are willing to live in any residence for which they are eligible are guaranteed on-campus Summer Housing. (Students applying for Single Undergraduate, Couples without Children and Student with Children Housing must rank all the residences they are eligible for; students applying for Single Graduate Housing must rank four residence choices to utilize this guarantee.)
Students who apply for and accept an on-campus housing assignment will be responsible for abiding by the terms and conditions of the Residence Agreement. A copy of the Residence Agreement is available on the Housing Assignments web site. While it is required that you sign this legally binding contract prior to taking occupancy of your space, it is a good idea to read the agreement prior to your submitting your application as well.
Students with Disabilities or Documented Medical Conditions. In addition to submitting a housing application, students who have special housing needs due to a disability or documented medical condition, or students whose spouse, domestic partner or child is disabled must file a Disability Accommodation Request form for special assignment consideration. File this accommodation form if (1) the disability or medical condition necessitates on-campus housing or a particular housing assignment that cannot be assured by entering the regular housing assignment process; or (2) special accommodation is required in the room (such as strobe lights, door openers, rails, etc.) or for the type or location of a room (for ramps, elevators, first floor, etc.). The form may be printed from the Forms section of the Housing Assignments web site. Refer to the calendar for the application and response to assignment deadlines for disability housing requests. Late requests will be processed on a space available basis.
Eligibility. Non-matriculating Stanford students are eligible to apply for Summer Housing once they have been admitted as a Visiting Student in the Undergraduate and Graduate Summer Programs or as a participant of the English for Foreign Students 688 course by the Language Center.
University housing is available to all visiting undergraduate students enrolled in a minimum of three units and all visiting graduate students. Undergraduate auditors are not permitted in on-campus housing. Graduate auditors are eligibly to apply for Summer Housing but will not be guaranteed housing, regardless of the application submission date. Students must be in good financial and academic standing with the University to secure, move into and retain residence on campus.
You will be asked to select your desired contract length, group information (if applicable) and residence choices in addition to confirming/entering your personal information on the summer housing application. Please read the following sections regarding each of these topics before applying for on-campus. Beyond these sections are directions for submitting an application in each assignment round.
Choosing your Contract Length. There are several contract length choices listed on the application. All visiting undergraduate students may apply for either the 8-week or 10-week contract. Visiting graduate students are only eligible for the contract length that corresponds to their class length - graduate students enrolled in an 8-week summer class may select the 8-week housing contract and those enrolled in a 10-week summer class may select the 10-week housing contract. EFS 688 participants should instead apply for the EFS contract. You
may only select the EFS contract if you will be enrolled as an EFS student this summer. Non-EFS students enrolled in a Stanford summer class with dates outside the 8 or 10-week housing contract dates may apply for a special contract length. Please contact Housing Assignments with the course name and dates after entering your application on Axess, or list the course(s) on your paper application. We must know the specific course name before granting any special contract lengths.
You may not select Summer-Autumn Interim. Summer-Autumn Interim is housing from the end of the summer contracts to the start of the autumn housing contracts. It is only available to students who will matriculate and reside on-campus in autumn. For the specific dates and rates associated with each contract length, visit the contract dates and rates web page.
Applying in a Group with Friends (Single students only). You may apply in a group with up to three other people (for a total of four people in a group). All group members must be the same gender and applying for the same category of housing (undergraduate or graduate). Group members are considered for assignment as individuals, but you will receive the same application number in the assignment round for a better chance of being assigned to the same residence. (For example, Carrie Bradshaw, Miranda Hobbes, Samantha Jones and Charlotte York apply as a group. All students receive the application number 0100, but Carrie Bradshaw is considered for assignment first as her name is first alphabetically.) In the Summer Allocation, this application number will be a random lottery number; in the Waiting List round, it will be based on the date that the last member of the group submitted his/her application. You may join a group with other Visiting Students or Stanford student applying for Summer Housing.
Being in a group does not guarantee that all group members will be assigned to the same residence. You may be split between residences if there isn't enough room in a residence for all members. If all group members list the same residence choices in the same order, you have a better chance of being assigned to the same residence. Also note that being assigned to the same residence does not guarantee assignment to the same room/apartment within a residence. Because most continuing graduate students remain in their same room/apartment during the summer term, there are few wholly vacant rooms/apartments to assign to single graduate student groups. In Single Undergraduate Housing, room assignments will be based on contract length selection. If the members of a group are applying for different contract lengths, they will be unable to share a room/apartment together.
To apply as a group, you need jointly to determine a common group name and group password and write them on each application. Group names and passwords must be between 5 and 8 alphanumeric characters, contain at least 1 numeric and 1 alphabetic character and have no special characters. (For example, group name: 4ladies password: in1city) Group names and passwords are not case sensitive.
Every member of the group must list the same group name and password on their applications to join a group. Each group member must submit a housing application; a group cannot apply through one application.
Group members with the same order of residence choices who are not assigned to the same residence may petition Housing Assignments to have their group reunited in one residence, keeping in mind that you still may not be assigned to the same room/apartment within the residence if your petition is granted. All petitions may not be granted.
Residence Choices. You will only be considered for assignment to the residence choices you list. Do not list any choices that you do not want. There are no reassignments for the Summer Quarter, except due to changes in marital or family status. Please refer to the room rates before making your residence choice selections.
All Undergraduate Housing residents in Manzanita Park and Wilbur Hall are required to purchase a Stanford Dining meal plan. See the Stanford Dining web site for meal plan options and rates. Undergraduate students who do not select a meal plan will be assigned to the default plan, 14 meals per week.
Single graduate students may list only graduate residence choices only, and single undergraduate students may list only undergraduate residence choices only. Undergraduate and graduate students may apply for Couples without Children and Students with Children Housing if eligible.
* Summer Research College (SRC) will be housed in Lantana and Castaño and students who are not participating in research will also be assigned to these residences. All students assigned to these residences will be eligible to participate in SRC's dorm-based activities and will need to follow SRC's alcohol policy, which prohibits individuals from serving alcohol in common areas. * In one-bedroom double occupancy and two-bedroom triple occupancy apartments, the furnishings are arranged for one student to sleep in the living room.
** Single graduate students can select either a furnished or unfurnished 1 bedroom single occupancy apartment. There is no unfurnished option in any other single graduate residence option.

Submitting an application in the Summer Allocation or Waiting List lottery round
Applications for the Summer Allocation and Waiting List lottery rounds should be submitted through Axess. If Axess is unavailable to you, you may mail the application in paper form to Housing Assignments.
Applying through Axess. All students must submit their Summer Housing applications in Axess to participate in the Summer Allocation or Summer Waiting List lottery rounds. Axess will begin accepting applications on Wednesday, April 18. Refer to the Calendar for the deadline to submit your application for each round.
In order to log on to Axess, you will need your Stanford ID number (emailed to you by the Summer Session office) and a SUNet ID (you may request a SUNet ID at http://www.stanford.edu/services/sunetid once you have a Stanford ID number). Allow one to two working days to set up your SUNet ID. If you have any problems gaining access to Axess, please submit a HelpSU ticket (Request Category: Web Applications, Web Sites; Request Type: Axess for Students). Once you are logged into Axess, click on the "Links & Contacts" tab along the top of the page and then select the "R&DE application" button under the Housing & Dining section. Choose "submit application" and follow the prompts.
Please use the Worksheet for Axess Applicants to record your answers to application questions prior to logging into Axess to submit your application. You will want to decide some of the information in advance, especially your residence choices and group members, group name and group password, if applicable. If your spouse/partner is also a Stanford student, you will be asked to enter his or her Stanford ID number. Before clicking "submit" at the end of your Axess application, REVIEW YOUR APPLICATION CAREFULLY!
Do not wait until shortly before midnight on the application deadline date to apply. Stanford's computer system may slow down due to heavy usage, possibly causing your application to be entered late.
Applying with the Paper Application. If you are unable to apply for the Summer Allocation or Summer Waiting List in Axess, you may submit a paper application. Note that the paper applications must be received by Housing Assignment by the first weekday following the Axess application deadline. Applications should be mailed to: Summer Housing Assignment Coordinator, Housing Assignments, 630 Serra Street, Suite 110, Stanford, CA 94305-6034. You may fax your application to (650) 736-1297 in order for it to be received by the deadline but you must also mail the original to Housing Assignments. Do not submit both a paper application and an application on Axess.

Housing Assignments cannot confirm receipt of mailed applications. If you would like receipt of your paper application to be confirmed, please enclose a stamped, self-addressed envelope or postcard with your application. You may also check Axess to view and confirm receipt of your application. Information regarding receipt of your application is not available by phone or email.
If you are not assigned in the Summer Allocation and still want to be considered for on-campus housing, you must join the Waiting List for assignment consideration, even if you were guaranteed housing in the Summer Allocation. This is not automatic.
Changing Application Information. You may change or rearrange the order of your residence choices, add and remove group names or change your contract length at any time until the pertinent application deadline. These changes can be submitted via Axess or in writing via email, fax or postal mail.
Once the pertinent application deadline has passed, you may only change your contract length after assignments are announced and before August 3, and only then by petition through a Summer Contract Change Request form and with a $25 administrative fee. Please consider your contract needs carefully.
Withdrawing an Application. You may withdraw your Summer Housing application without
financial penalty by the pertinent application deadline. In order to withdraw
an application, students must notify the Housing
Assignments office in writing (email, fax or postal
mail), as this change cannot be submitted via Axess.
You must contact Housing Assignments directly, in addition to the Summer Session office (or the Language Center for EFS students), if you decide not to attend Stanford.
If you withdraw your Summer Housing application after the pertinent deadline, you will be charged a $50 administrative fee. Once you have accepted your summer assignment, you cannot withdraw your application. Please see cancellation fees for the fee schedule for canceling a summer housing assignment that you previously accepted.

Submitting an application in the Walk-In/Continuous Assignments Meetings
Walk-In Meetings. Housing Assignments will host Walk-In Meetings every weekday from June 12 through July 27, 2007 to assign single undergraduate and graduate students to any available on-campus housing. On the opening day of residences, Saturday, June 23, Walk-in assignments will also be made at the Mirrielees RSAS office from 1:00 to 5:00 p.m. To participate in the Walk-In Meetings, students can either attend a Walk-In meeting or submit a proxy form. When a student submits a proxy form, he/she is designating a representative to accept housing on his/her behalf. Students can either designate Housing Assignments as their representative or name a person who will attend the meeting. If a person is named, he/she must be at the Walk-In meeting with photo identification and accept an assignment in order for the student to receive an assignment. If Housing Assignments is your designated representative, make sure to rank your residence choices in the space provided on the proxy form. You may change your residence choices at any time prior to receiving an assignment by submitting a new proxy form.
Once a Walk-In assignment is accepted (either by the student or designated representative), there is a $200 fee to cancel it. However, you may withdraw a proxy form at any time prior to an assignment being made without financial penalty.
Available spaces will be posted on the Housing Assignments web site once the Walk-In Meetings begin. Spaces will be posted by residence and availability date. When assigned to a Walk-In space, students may delay the start date of an assignment up to seven days beyond the availability date. However, students may choose to enter a desired start date on their proxy form. Those who enter a desired start date will not be considered for a space with an availability date more than seven days prior to their desired start date.
Students not assigned in the Summer Allocation or Waiting List must attend or submit a proxy form for the Walk-In Meetings if they are still interested in on-campus housing. Participation is not automatic.
Continuous Assignment Meetings. Housing Assignments will host Continuous Assignments Meetings every weekday from June 8 through July 27, 2007 to assign couples without children and students with children to any available on-campus housing. To participate in the Continuous Assignments Meetings, students must submit a paper application. You may change your residence choices at any time by emailing, faxing or mailing a revised list of residence choices to Housing Assignments.
Housing Assignments will maintain a Position List of interested students and offer any apartment that becomes available for summer term to the next eligible student on the position list. This means that a student may be offered an apartment not on their list of residence choices. For example, a couple who only applied for a furnished apartment may be offered an unfurnished apartment. You may change the furnishings of an apartment offered in the Continuous Assignments Meetings for a one time $200 fee. If you choose to refuse an assignment that was not on your residence choices, you maintain your position on the Continuous Assignments Position List. If you refuse an apartment that was on your residence choices, you must reapply for Continuous Assignments and you will drop to the bottom of the Position List. There is no financial penalty for refusing a Continuous Assignments offer.
All assignment offers will be emailed to the student who will have 2 business days to respond to the offer before it is passed on their behalf. Students who do not respond to the offer will drop to the bottom of the Position List.
Students not assigned in the Waiting List will automatically be added to the Continuous Assignments Position List. If you are on the Position List and are no longer interested in on-campus housing, please contact Housing Assignment so we can remove your name from the Position List. This will help us give accurate information to other couples and students with children waiting for an assignment.

Misrepresentation of Facts
The University may subsequently, and with cause, ask you to provide certifiable documentation of facts detailed on your housing application or on your signed Residence Agreement. Any misrepresentation of facts for housing purposes is deemed a violation of the Residence Agreement and the Fundamental Standard of student conduct and may result in the loss of on-campus housing privileges and/or possible University disciplinary action.
