Square Bullet Am I eligible for summer housing?
You are eligible for summer housing if you are:

  • a Stanford student who is enrolled Summer Quarter; 
  • a Stanford student who is not enrolled Summer Quarter, but who was enrolled Spring Quarter/Semester 2008 and plans to re-enroll for Autumn Quarter/Semester; 
  • a Stanford student who graduated in Spring Quarter/Semester 2008;
  • a Stanford student residing in Single Student Housing who graduated in Winter 2008 (those in Couples without Children or Student with Children Housing must submit a second post-graduation quarter petition);
  • an undergraduate student enrolled in the Undergraduate and Graduate Summer Program for a minimum of 3 units;
  • a graduate student enrolled in the Undergraduate and Graduate Summer Program;
  • a newly admitted graduate student who will begin enrollment at Stanford this summer or this coming autumn;
  • a student enrolled in the English for Foreign Students 688 course;
  • Post-doctoral students and Visiting Researchers enrolled with the University.

Square Bullet How do I apply for summer housing?
Apply for Summer Housing in Axess, Stanford's administrative web portal. Axess will accept applications for students who want to join the Summer Lottery or the Summer Waiting List assignment rounds. Axess will determine which round you are applying for by the submission date of your application.

If you are unable to submit your application on Axess, contact Housing Assignments for a paper application. Paper applications should be mailed to Housing Assignments Attn: Summer Housing Assignment Coordinator; 630 Serra Street, Suite 110; Stanford, CA 94305-6034. Students concerned about submitting their application by the application deadline may fax their applications to 650-736-1297 but the original must be mailed as well. Do not submit both an electronic and a paper application.

Students participating in the Walk-In/Continuous Assignments meetings may only apply for housing with a paper application. Axess will not be available during this time. Those participating in Walk-ins may also want to submit a proxy form listing Housing Assignments as their designated representative if they want the office to make a housing assignment on their behalf.

Square Bullet I am already living on campus. Do I need to apply for summer housing?
Yes, you must submit a summer housing application if you are a single undergraduate student and wish to live on campus during Summer Quarter.

You do not need to apply for summer housing if you are living in Student with Children, Couples without Children and Single Graduate Housing Spring Quarter/Semester (except in Crothers Hall, Escondido Village Studio buildings 1 and 2 with an academic year contract, Schwab Center, the co-ops or Rains building 201, 202 or 206), as your contract already includes Summer Quarter. These students in a full-year contract with questions regarding their summer contracts should read the web page regarding their contracts. However, if you are in a full-year contract and will have a change in family or marital status that requires a different category of housing, you may apply for the appropriate category of housing for summer term.

Residents of Crothers Hall, studios in buildings 1 and 2 with an academic year contract, Schwab Center, the co-ops and Rains buildings 201, 202 and 206 have academic-year housing contracts and must apply for summer housing to remain on-campus during the summer term.

Square Bullet Can I apply with a friend or group of friends?
Yes. If you would like to live in the same residence with one or more friends (up to four total), apply as members of a group.

Square Bullet Can I apply with a group of mixed gender friends?
Yes. If you would like to live in the same residence with one or more friends of a different gender (up to four total), apply as members of a group. Rains two- and four- bedroom apartments are the only locations in single graduate housing that allow coed groups to be assigned to the same apartment.

Square Bullet Can I make changes to my application after I've submitted it?
Yes. You may change your housing choices on your application, add or remove group names and/or change the length of your requested contract through the application deadline. These changes can be submitted via Axess on the "edit active applications" tab.

Square Bullet Can I withdraw my application once I have submitted it?
Yes, you may withdraw your housing application with no financial penalty by the application deadline. Withdraw your application on Axess or by notifying the Housing Assignments office in writing (e-mail, fax or postal mail).

Square Bullet Do I have to sign a contract? Yes, you must sign a Residence Agreement. You sign your contract electronically when applying online. This legal contract obligates students living in an academic-year contract, to pay rent for the entire academic year (as long as they remain enrolled and eligible for housing) once they take occupancy of their assigned space. Students who are assigned housing that is open year round sign a yearly contract which includes Summer Quarter, but only obligates them through spring (as long as they remain enrolled and eligible).

Square Bullet What is the Summer Housing Lottery?
The Summer Housing Lottery is a computerized lottery system. Summer Housing applications are collected through Axess through the Summer Lottery deadline. All applicants will receive a random application number and their applications will go through the Summer Lottery. They will be assigned to their highest ranked residence choice given their priority (if any) and application number.

All students who apply in the Summer Lottery and are willing to live in any residence for which they are eligible will be guaranteed on-campus Summer Housing.

Square Bullet Are roommates assigned in the Lottery and Waiting List?
No, you are only assigned to a space in a residence. Specific room/apartment and roommate assignments are assigned during the in-house draw hosted after the Lottery results are available for Single Undergraduate Residences. Single undergraduates assigned in the Waiting List or during Walk-ins will receive an assignment from the Summer Residential Education office. For Single Graduate, Couples without Children and Student with Children Housing, specific room/apartment and roommate assignments, where applicable, are made by the local Housing Front Desk after you accept your assignment.

Square Bullet Do I have to take a meal plan in Undergraduate housing?
All Undergraduate Housing residents in Manzanita Park (Lantana and Castaño) and Wilbur (Arroyo and Cedro) are required to purchase a Stanford Dining meal plan. Undergraduate residents of these dormitories who do not select a meal plan will be assigned to the default plan, 14 meals per week. Meals are served at the Manzanita Park Dining Hall. Residents of Mirrielees have the option of purchasing a Stanford Dining meal plan.

Stanford Dining does not offer residential dining service during interim periods. No meal plan is available at those times.

Square Bullet How will I be notified of my housing assignment?
Your Summer Lottery or Waiting List housing assignment will be posted in your Axess account. After logging into Axess, go to the "Links & Contacts" tab along the top of the page and then select the "R&DE application" button under the Housing & Dining section. Choose "view/respond to assignment" and follow the prompts. Check the calendar to determine when these results will be available in Axess.

Assignments received in the Walk-In/Continuous Assignments meetings will be emailed to the email address on file with the University.

Square Bullet If I am assigned housing, do I have to confirm my housing assignment?
No. You signed your Residence Agreement when you applied for housing. We assume that you want to keep your housing. You will only need to respond on Axess if you would like to cancel your assignment. If you no longer want on-campus housing you can cancel on Axess (with applicable fees) as long as you do not pick up your keys and move into housing.

Square Bullet Is there an administrative fee for cancelling an assignment?
Yes. If you cancel a housing assignment, you are charged a $50 to $200 depending on when you cancel the assignment. The earlier you notify us the lower the cancellation fee. These are administrative fees to recover the cost of making the assignment, cancelling it, notifying the affected offices and changing cleaning schedules. These fees are charged in lieu of an application fee or rent deposit.

If you refuse a Walk-in at the Walk-in meeting, there is a $200 refusal fee. There is no fee to refuse a Continuous Assignments offer. However, once you have accepted the offer, there is a $200 fee to later refuse it.

Note that once you pick up your keys, you are considered to have taken occupancy of your summer assignment and you can no longer refuse the assignment

Square Bullet I received an assignment for on-campus housing. How do I find out the location of my residence?
Enter the name of your new residence in the Building Name field of the Stanford searchable campus map.

Square Bullet Where do I go to pick up my keys?
Check in dates, times and locations are available on the check in web pages. For students in housing during the spring quarter/semester, go to the Stanford student check in web page. For students coming to Stanford for the summer term, go to the Visiting Student/Incoming graduate check in web page. (Check-in information for EFS participants is available on the EFS web page.)

Square Bullet Can I refuse my assignment and reapply for housing?
Yes. If you withdraw a Summer Housing Lottery application or refuse an Lottery assignment, you may reapply for housing in

either the Waiting List or the Walk-in/Continuous Assignments meetings but you will receive an application number as of the date you are submitting the new application. Students who withdraw a Waiting List application or refuse a Waiting List assignment may similarly participate in Walk-ins/Continuous Assignments with a new application number. Appropriate refusal fees will be applied to every assignment cancelled and will not be waived regardless of whether or not a later assignment is accepted.

Square Bullet What should I do if I am not assigned housing in the Lottery?
If you still wish to live on campus, you should join the Summer Waiting List after the Lottery results are announced by the Waiting List deadline. If you were guaranteed summer housing in the Summer Lottery because you listed all the residences you are eligible for, you must apply in the Waiting List round and continue to list all residence choices in order to be guaranteed.

All students who were unassigned in the Summer Lottery will keep their application number in the Waiting List round.

Square Bullet I missed the Summer Lottery deadline to apply. Can I still get an assignment?
You may join the Summer Housing Waiting List (either through Axess or by paper application) by the Waiting List application deadline. Students who apply in the Waiting List round will receive sequential application numbers based on the date that their application is received so those who miss the Lottery deadline should apply as soon as possible. We normally have plenty of vacancies for single graduate students and are confident that single graduate students who join the Waiting List will get a housing assignment for summer. Availability in Single Undergraduate and Couples without Children Housing is variable but we do expect to offer most, if not all, students who apply in the Waiting List and are willing to live in any residence for which they are eligible an assignment in the Waiting List. Student with Children Housing will likely be more limited, especially for students who apply late.

Square Bullet What should I do if I am not assigned housing in the Waiting List?
Students who are not offered an assignment in the Waiting List round or those who miss the Waiting List application deadline may participate in the Walk-in/Continuous Assignments Meetings. During these meetings, Housing Assignments will offer any available housing to students still interested in on-campus housing. Walk-in Meetings for single students will be held at the Housing Assignments office, located at 630 Serra St, Suite 110, from June 10 through July 25. Students may complete a proxy form if they are unable to attend in person. There will also be a Walk-in meeting on June 21 at 1:00 p.m. at the Mirrielees Residential Education office. Continuous Assignments Meetings for couples and students with children will be held from June 6 through July 25. Attendance is not required at the Continuous Assignments Meetings.

Square Bullet Can I make changes to my contract?
Yes, once you are assigned to summer housing, you may change your contract length, if eligible, by submitting a Summer Housing Change Request form. All requests must by filed by August 1, 2008. A $25 processing fee is charged for each approved request. In undergraduate housing, an extension to your housing contract may require you to change rooms for the additional time you will remain in housing. Meal plans will automatically be adjusted to the revised contract length as well.

Note that graduate students are only eligible for a ten-week housing contract if they are enrolled in a ten-week course or registered as Terminal Graduate Registrant (TGR) for summer term. Visiting researchers or post-docs may select a ten-week contract only if they have a letter from their department requiring them to be on campus through the ten-week contract.

Only single undergraduate students with a ten-week summer contract and autumn assignment may select Summer-Autumn Interim housing. Undergraduate students may use one Summer Change Request Form to request an extension to a ten-week contract and Summer-Autumn Interim simultaneously.

Square Bullet Where do I live between Summer and Autumn Quarters?
Interim housing is the period from the end of the ten-week summer contract, September 3, to the beginning of the autumn contarct. Undergraduate students who apply in the Summer Lottery will no longer be asked if they would like to sign up for Summer-Autumn interim housing on their initial application. There will instead be an online form available from July 18 to August 1. We hope that asking for this information in July rather than May will help student who are uncertain of their summer plans when they are applying.

Students who select Summer-Autumn Interim Housing should be aware that they will likely have to move to a different room or residence for the interim period prior to moving into their fall room assignment.

Square Bullet What if I only need a portion of Summer-Autumn Interim Housing?
Summer-Autumn Interim extends from the end of the summer contract through the beginning on the autumn contract. You cannot select only a portion of interim housing. If you need housing for any portion of that time, you must opt for the full interim period. You must also be available to move from summer housing into your fall assignment on your summer-autumn interim move in date. However, if you will be Residence Staff in your Autumn assignment and you select Summer-Autumn Interim, you will only be charged for the interim period prior to the start of your staff position. If you are required to be on-campus before the start of your autumn contract because of your participation in an on-campus group or organization (including those who will move into a specifc residence for the program) and wish to remain in continuous occupancy until the start of such a program, you should request Summer-Autumn interim. You may contact your department about reimbursement for a portion of the interim expenses.
