INTERNAL AUDIT & INSTITUTIONAL COMPLIANCE

STARS Upgrade - December 2007

Why is Stanford upgrading the STARS system?

Stanford will be upgrading its entire PeopleSoft system from verision 8.0 to version 9.0 in 2008 (support from Oracle Corp. for versions prior to 9.0 ends in August 2008). STARS, implemented later than the main Student Administration and HR modules, currently runs on PeopleSoft version 8.8. Since the "jump" to version 9.0 is a bit smaller for STARS than for the rest of Stanford's PeopleSoft system, the decision was made to move STARS to 9.0 first.

While the upgrade will not initially provide significant functional improvements, moving to version 9.0 will facilitate the addition of new features and enhancements in the future.

Administrative Systems is leading the project in collaboration with the Internal Audit and Institutional Compliance Department, which is the business owner of the STARS system.

When is the upgrade happening?

The upgraded version of STARS will go live on December 3, 2007.

PLEASE NOTE:  We have identified several issues during the implementation of STARS V9. We have categorized several of the items as "Open" and "Deferred." We are actively working the Open Issues for remediation as soon as possible, including requiring "fixes" from PeopleSoft/Oracle. The Deferred issues also include items that are part of the standard, delivered PeopleSoft/Oracle code and that are the default "as designed" functionality.

A partial list of significant findings/issues can be found at: http://www.stanford.edu/dept/Internal-Audit/stars/v9_issues_07.html

Please report additional issues by filing a HelpSU Request.

What will be different as a result of the upgrade?

Learners-- those who use STARS to register themselves for training classes -- will experience little (if any) change in the STARS application.

Learning Administrators & Enrollment Administrators -- those who use the STARS system to administer training programs --will experience some changes in navigation and in certain processes.

As part of the upgrade project we will identify the specific changes that Learning Administrators will experience and provide information and documentation to help them make the transition from the old to the new version.

OPEN LAB SESSIONS-
STARS is offering 3 Open Lab Sessions for Learning & Enrollment Administrators. Please note that space is limited in the labs. You will be allowed to RSVP (via STARS, of course) for certain time slots, but please feel free to drop in. The 3 scheduled sessions are -
  • Tuesday, November 27, 2007 at 9:00am - 12:00 noon.  Arguello Labs, Room 105 (map)
  • Friday, November 30, 2007 at 9:00 am to 12:00 noon.  Arguello Labs, Room 105  (map)
  • Friday, December 7, 2007 at 9:00 am to 12:00 noon.  Arguello Labs, Room 105  (map) - (Post Go-Live)
"What's Different" Document -
STARS has prepared a "living document" of the comparisons between Version 8 and Version 9 functions.  (doc)

What will be the same?

All users will continue to access STARS via the Axess website. Learners (those using the system to register themselves for training classes) will see virtually no difference in the system. Most processes will also remain the same for Learning Administrators, with some exceptions. No changes to desktop software will be required.

How can I get more information?

The Project Team will communicate further with Learning Administrators as the Go Live date for the STARS upgrade approaches.

  • Check this website frequently for updates.
  • Learning Administrators can attend one of the Open Demonstration Sessions noted above.
  • Other information sessions and materials will be available in the coming weeks leading up to the upgrade to familiarize users with the changes. These will be announced on this site and via email.

General Information about STARS

The Stanford Training And Registration System (STARS) is Stanford's implementation of PeopleSoft's Enterprise Learning Management System (commonly referred to as either "ELM" or "LMS"). It is a distinct module in the PeopleSoft system that provides management with a centralized University-wide tracking tool for compliance and training administration.

STARS was first implemented in Spring 2005, replacing the legacy Prism Training system. Training and compliance programs use STARS to define and schedule training classes, register participants, track attendance/program completion, plan future training, etc. Programs using the system include:

  • Internal Audit & Institutional Compliance
  • SUMC Compliance
  • Environmental Health & Safety
  • Office of Development
  • Research Compliance
  • HR Learning & Development
  • Stanford Health & Improvement Program (HIP)
  • IT Services - Technical Training
  • Information Security Office

Learners and Learning Administrators connect to the system via the Axess portal website.
