Import Historical Learning into STARS

Background Information

STARS is the University's Enterprise Learning Management solution. Previously, the responsibility for maintaining historical learning records resided with the University's various, and distributed, legacy learning systems. STARS did not contain historical learning records. STARS recently implemented the ability to import historical learning records from legacy Learning Management Systems into the STARS system, via a batch loading process. Training Unit Managers desiring to import historical learning information into STARS should contact the STARS Management Team (eMail).

General Process

  1. The request should be sent to STARS Management Team stars-mgmt@lists.stanford.edu  by Training Unit Managers via email with an attachment of a  preformatted text file, the format will be provided in below of this document, and the name of the unit's technical contact.
  2. The Catalog Item Code and the number of records should be indicated in the email, provide them all if there are multiple catalog items need to be processed.
  3. The text file should follow the required format and be error free.
  4. The importing process will be completed within two-to-three weeks upon receipt of the request. 
  5. Catalog items in the text file must exist in STARS.
  6. The import process is not able to process any individual activity but will add a dummy course record based on the catalog item provided. For example: if EHS-2700 is provided in the text file as the catalog item, the import process will add a new activity EHS-2700-HISTORY to the learner's learning record, and this new record will appear in the learner's All Learning page as well as the ReportMart 1 Report.

Required File Format

The following is the required file format for the import process:

Notes:

SUNetID – Required. Learner’s university ID, not employee ID Missing this field will cause the process abended.
ItemCD – Required. It is the existing catalog item code in STARS, for example EHS-2700.
yyyy/mm/dd -  Required. The completion date for the course, example 1921/12/10.
Fee – Required. The cost for the course, example: 150.0 (not 150), required to put 0.0 if no cost (not 0).
Y – Required. It is a Y/N field. If the course has been completed by learner, use “Y”. Use “N” to add a not completed record for the learner.
