TRAINING: Beginning GFS Policy and Entry Classes

Before access is granted to the system, department administrators and student services officers are required to enroll in the "GFS Policy and Entry/Approval Class." This GFS class offered each quarter, and is listed in Educational and Training Opportunities, a quarterly supplement to the Stanford Report and in STARS.

This class provides the essential foundation to allow staff to set up financial support for graduate students and postdoctoral scholars. The policy class includes such topics as types of assistantships and fellowships, eligibility, restrictions, and salary guidelines. GFS data entry classes describe the use of PeopleSoft technology to enter salary, stipend and tuition payments in the GFS system.

To enter data into GFS and/or be a Home Department Approver (HDA), users need to be identified for this access by their school and must complete the classroom GFS Policy and Entry class.

A "GFS Read Only Class" is also available online for those requiring "view only" access (including "Report Mart" reports). This module is located at http://www.stanford.edu/services/peoplesoft/training/gfs_read/. To view data in GFS, users need to be identified for this access by their school and must complete this online tutorial.

In addition, individuals who are authorized as GFS Financial Approvers must complete the Cost Policy tutorial on the university's accounting systems and chart of accounts.

     Stanford Bulletin

This annual publication of the Office of the Registrar is the key official statement of Stanford's policies relevant to students' pursuit of degrees at the undergraduate and graduate levels. The Bulletin contains department requirements for each degree/major, as well as University requirements. In addition, it catalogues the expected course offerings of each department for the year, and it contains descriptions of policies relevant to students in areas such as tuition and fee assessment, grading and academic grievance. Questions about the publication and distribution of the Bulletin should be referred to the Registrar's Publication Office, 5-1879. Requests for copies should be directed to the Stanford Bookstore. Questions regarding content should be referred to whichever University office has policy jurisdiction over that area.

 

     Graduate Student Handbook

The Graduate Student Handbook provides information for graduate students about University policies, requirements, and resources relevant to Stanford graduate students regardless of their school, department, or program affiliation. This handbook is maintained by the Office of the Vice Provost and Dean of Research and Graduate Policy.

In particular, this Handbook contains a detailed section on graduate student finances.

 

     Summer Session

The summer session bulletin, published annually each February, describes Stanford's summer program and policies. Of particular interest is how summer differs from other quarters in allowing most graduate students to register on a unit basis. Questions about summer registration and tuition assessment should be addressed to the Registrar's Office, 3-2045. Questions regarding summer course offerings should be directed to the relevant academic department or the Summer Session Office, 3-3109.
